Job summary

Dueck Auto Group is seeking a friendly Body Shop Administrator to manage daily administrative and customer service duties in the Body Shop Department. Responsibilities include scheduling appointments, closing out work orders, reconciling ICBC schedule, and preparing time cards for payroll.

Reporting to the Body Shop Manager, you will ensure accurate documentation, invoicing, and adherence to ICBC policies. This full-time role may require extended hours, including weekends.

Qualifications

• Minimum one year of dealership and/or receptionist experience.
• Experience with Mitchell & Audatex Estimating Software is an asset.
• Post-secondary training is an asset.
• Strong proficiency and experience using Microsoft Office applications (Word, Excel, Outlook).

Responsibilities

• Answer phone calls and inquiries in a prompt and professional manner
• Schedule and coordinate customer appointments
• Sign customers into courtesy cars, complete walk-around inspections and fill out rental agreements
• Prepare daily time cards for payroll and request payroll approval from the Body Shop Manager
• Create invoices and post-repair orders
• Ensure invoicing is processed promptly and in compliance with ICBC policies and procedures
• Manage cash, including collecting payments and balancing the daily float
• Report WIP (Work In Progress) at month's end to the Body Shop Manager
