Job description

Reports to: Branch Manager
Location: In person, PASADENA, NL

About the Role

We’re looking for a driven, detail-oriented Operations Coordinator to lead our fleet of drivers — both company employees and subcontractors — and serve as the key liaison between the company, our clients, and our operators. As the first point of contact for day-to-day operations, you’ll keep our fleet moving safely, efficiently, and in step with client needs.

What We’re Looking For
  • A strong leadership mindset with the ability to motivate and guide a team
  • Comfort working independently as well as collaboratively within a team
  • A genuine team-first attitude
  • The ability to thrive in a high-pace, high-stress environment
  • Proficiency in Microsoft Office
  • Excellent organizational, coordination, and planning skills
What You’ll Do
Safety
  • Follow and enforce all company, client, and legislative safety regulations, policies, and procedures
  • Champion a positive safety culture through our “Safety Starts with Me” values
  • Complete required certified/approved training
  • Refuse unsafe work and report concerns immediately to your supervisor
  • Report all injuries and incidents promptly to appropriate personnel (and client representatives when required)
  • Complete Accident/Incident Reports as needed
  • Lead weekly toolbox talks with crews
Documentation
  • Communicate clearly, both verbally and in writing
  • Ensure all documentation — Field Level Hazard Assessments (FLHAs), work orders, checklists, and more — is complete, accurate, and easy to read
  • Confirm records are signed off where required
  • Support the Plan-Do-Check-Act cycle for documentation and company records
  • Track units out of service due to mechanical issues
  • Verify and approve daily work orders for operator and job accuracy
  • Review employee work orders and prepare quotes
Operations
  • Plan, coordinate, dispatch, and execute the daily workload within CBA parameters
  • Complete paperwork covering safety, payroll, driving, and daily operational needs
  • Help ensure documentation — Job Hazard Analyses, Field Level Risk/Hazard Assessments, logbooks, timesheets, and pre/post-trip inspections — meets regulatory and administrative standards
  • Communicate expectations and outcomes clearly when delegating tasks
  • Act as the primary point of contact for our fleet of operators, ensuring company and client policies are followed
  • Partner with client planners on driver availability and hours-of-service
  • Identify opportunities to streamline procedures without compromising accuracy
  • Work independently in a team- and safety-focused environment
  • Plan — and re-plan when necessary — daily work with minimal supervision
  • Hold team members accountable for maintenance reporting protocols, minor repairs, and reporting deficiencies or out-of-service items, with a focus on engagement and understanding
  • Take part in a rotational on-call program covering nights and weekends
  • Coordinate with the maintenance department on repair priorities for units in the shop, scheduling out-of-service repairs to minimize downtime and revenue loss
  • Work with Yard Supervisor(s) to ensure accurate tracking of waste ins/outs
Benefits
  • Extended health care
  • Vision care
  • Paid time off
