Job summary

OPENLANE seeks a Dispatcher (Transportation Coordinator) to coordinate daily activities in the transportation department, ensuring timely dispatch of drivers for pickups/deliveries and smooth transactions at VLCs. Responsibilities

  • Act as a point of contact for transportation and ensure customers receive prompt, efficient and courteous attention.
  • Coordinate the movement of vehicles to and from the Vehicle Logistics Centers (VLC), including dispatching loads for correct arrival designation, completing all related paperwork to ensure a smooth transaction.
  • Manually or electronically enter data in an accurate and timely manner into our transportation and inventory management systems.
  • Accurately quoting transportation services, processing transactions, & posting charges according to contracts and company specifications.
  • Investigate discrepancies and communicate with appropriate personnel in a timely manner.
  • Coordinate with lead drivers to ensure timely vehicle pickups.
  • Assist with scheduling for transport drivers to meet driveaway service volumes.
  • Maintain excellent customer service and strong telephone support.
  • Escalate concerns to Transportation Supervisor/Manager when needed.
  • Promote transportation services with Sales & Dealer Relations teams.

We're looking for:

As a Dispatcher (Transportation Coordinator), you will coordinate the daily activity within the transportation department, including ensuring timely and efficient dispatch of drivers for pick up/deliveries, coordinating sublet transportation carriers, posting charges, and reporting on transportation department activities to local management and our corporate office.

You will:
  • Act as a point of contact for transportation and ensure customers receive prompt, efficient and courteous attention.
  • Coordinate the movement of vehicles to and from the Vehicle Logistics Centers (VLC), including dispatching loads for correct arrival designation, completing all related paperwork to ensure a smooth transaction.
  • Manually or electronically enter data in an accurate and timely manner, including vehicle information, locations, and other documents, into our transportation and inventory management systems.
  • Accurately quoting transportation services, processing transactions, & posting charges according to contracts and company specifications.
  • Investigate any discrepancies and communicating same to appropriate personnel in a timely manner.
  • Coordinate with lead drivers to ensure vehicles are picked up in a timely and efficient manner.
  • Assist with scheduling for transport drivers, ensuring adequate staffing in connection with the volume of driveaway services.
  • Be familiar with procedures for handling all aspects of customer service.
  • Maintain excellent customer service, strong telephone support and ability to answer or research the answer to customer questions.
  • Act as a point of contact for transportation services within the VLC, ensuring customers receive prompt, efficient, and courteous attention; and escalating any concerns to the Transportation Supervisor/Manager.
  • Resolve any customer complaints in a friendly, courteous manner.
  • Advise manager or designated supervisor of all serious complaints or incidences.
  • Pro-actively promote transportation services in collaboration with our Sales & Dealer Relations teams.
  • Run aging reports and contact sellers and buyers regarding outstanding shipments.
  • Practice and promote teamwork at all times.
  • Set a good personal example of attitude and performance.
  • May assist with onboarding, training, and supporting transportation employees with job related tasks.
  • Ensure all company vehicles are in safe operating condition by scheduling regular maintenance and ensure weekly van inspections are completed in accordance with our safety program.
  • Other duties as assigned.
Must haves:
  • High School diploma or equivalent.
  • 1-3 Years' of related experience in a logistics or dispatching role.
  • Tech-savvy, and comfortable using Google Suite.
  • Strong customer service and communication skills.
  • Excellent organizational and time management skills.
Nice to Haves:
  • Post-secondary education in a related field is an asset.
  • Self-starter who can assess work volumes and ensure timely completion of prioritized tasks.
  • Experience with AMS, VTrace, and other OPENLANE systems.
  • Bilingual (English/French) is an asset.

Compensation

Range of Hourly: $22.00 - $25.00 CAD (Depending on experience, skill set, qualifications, and other relevant factors.)
