Job summary

Steele’s Transportation Group in Calgary is seeking a Dispatcher to plan loads, communicate with drivers, and balance customer expectations with costs. Ideal candidates have 3–5 years in dispatch or logistics, a high school diploma or higher, and strong Excel/office skills.

  • 3–5 years of dispatcher or related logistics/customer service experience.

Responsibilities

  • Load Planning and Dispatching: assign loads to drivers based on appointments, routes, availability, hours of service, and equipment.
  • Driver Communication: maintain regular communication with drivers and provide clear instructions for pickups, deliveries, and schedule changes.
  • Customer Service: inform customers about shipment status and ETAs, respond to inquiries, and handle delivery exceptions professionally.
  • Time Management: prioritize urgent shipments, coordinate multiple deliveries, and adapt to disruptions.
  • Regulatory Compliance: ensure drivers follow Hours of Service regulations.
  • Problem Solving: respond quickly to breakdowns, delays, and missed appointments with contingency plans.
  • Equipment Management: monitor vehicle availability and coordinate repairs with the terminal manager.
  • Documentation and Record Keeping: close manifests and ensure PODs are uploaded.
  • Coordination with Operations: work with warehouse staff, dock supervisors, and managers.
  • Performance Monitoring: track on-time pickups/deliveries and identify efficiency improvements.

About Us

Steele’s Transportation Group (Steele’s) specializes in providing scheduled LTL Freight in Alberta, as well as local pickup and delivery from our terminal hubins Calgary and Edmonton. Steele’s has a strong reputation for our service, which we have been building since 1957.

Steele’s is an asset-based business that utilizes a fleet of dedicated equipment, including company-owned assets and owner-operator equipment working as subcontractors, along with carrier partners, to provide safe, timely, and competitive freight services throughout Alberta. Our main area of service occurs in the busy corridor between Calgary, Red Deer, and Edmonton, and we do have staff and/or drivers based in each of these major cities.

Job Title: Dispatcher

A dispatcher plays a critical role in keeping freight moving efficiently while balancing customer expectations, driver safety, and operational costs. Key responsibilities include:

1. Load Planning and Dispatching
  • Assign loads to drivers based on appointments, routes, availability, hours of service, and equipment.
  • Optimize routes to maximize efficiency and minimize empty miles.
  • Coordinate pickups, deliveries, and transfers between terminals.
2. Driver Communication
  • Maintain regular communication with drivers throughout their shifts.
  • Provide clear instructions for pickups, deliveries, and schedule changes.
  • Support drivers by resolving issues such as delays, equipment problems, or customer concerns.
3. Customer Service
  • Keep customers informed about shipment status and estimated delivery times.
  • Respond promptly to customer inquiries on the status of a shipment.
  • Handle delivery exceptions professionally and work toward timely resolutions.
4. Time Management
  • Prioritize urgent shipments while maintaining service commitments.
  • Coordinate multiple deliveries and pickups simultaneously.
  • Adapt quickly to changing schedules and unexpected disruptions.
5. Regulatory Compliance
  • Ensure drivers comply with Hours of Service (HOS) regulations.
6. Problem Solving
  • Respond quickly to breakdowns, traffic delays, weather events, or missed appointments.
  • Develop contingency plans to minimize service disruptions.
  • Make informed decisions under pressure while maintaining operational efficiency.
7. Equipment Management
  • Monitor trucks and trailer availability.
  • Coordinate equipment repairs and maintenance with the terminal manager
  • Ensure equipment is assigned appropriately based on freight requirements.
8. Documentation and Record Keeping
  • Close manifests, driver messages, and ensure PODs are uploaded.
9. Coordination with Operations
  • Work closely with warehouse staff, dock supervisors, customer service representatives, and managers.
  • Coordinate with warehouse on driver start times.
10. Performance Monitoring
  • Track on-time pickup and delivery performance.
  • Monitor driver productivity and route efficiency.
  • Identify opportunities to improve service and reduce operating costs.
Education and Experience Requirements
  • High school diploma required; post-secondary education in logistics, business administration, or a related field is preferred.
  • Three to five years of proven experience as a dispatcher or in a related logistics, transportation, or customer service role.
Qualifications/Skills
  • Excellent communication, interpersonal, and customer service skills
  • Ability to multitask, prioritize competing demands, and manage time effectively.
  • Strong organizational, coordination, and problem-solving skills.
  • Proficiency with Microsoft Office and the ability to learn new software and systems quickly.
  • Working knowledge of fleet management or dispatch software.
  • Multilingual skills are considered an asset.
  • Ability to remain calm, professional, and effective when managing delays, customer concerns, and competing priorities.
