As a Development Coordinator, you will play a key role in supporting a broad range of administrative activities pertaining to the fundraising priorities and the successful operations of our office. Working closely with the Director, Strategic Initiatives, you will support our fundraising team and initiatives related to donor relations, cultivation, solicitation and stewardship, by acting as a trusted liaison with our leadership team, development team and prospective and existing donors. This includes generating reports, supporting meeting preparation with strategic briefing notes, and drafting communications and agreements ensuring adherence to University and regulatory policies and guidelines. Your strong communication and organization skills will enable you to track and coordinate information amongst our key decision makers.


Your responsibilities will include:

  • Reporting to the Director, Strategic Initiatives, supporting the Executive Director and development team with strategic meeting preparation for principal and major gift opportunities,including complex scheduling, briefing notes, and preparing donor communications
  • Coding and tracking activity in the University’s CRM database (Arbor) and generating reports on gifts, funds, pledges, projects and awards, ensuring accuracy and efficiency
  • Advising the development team on appropriate templates, documents and on methods and policies relating to the administration of funds and awards
  • Drafting, editing and customizing content for fundraising documents, including donor agreements, and donor appreciation documents
  • Supporting donor relations and external stakeholder activities including appropriately responding to and fielding special donor/stakeholder requests, questions, and inquiries
  • Tracking and monitoring the status of agreements throughout various stages and ensuring agreements adhere to applicable policies and guidelines
  • Monitoring sponsorship pledges and other pledge commitments and drafting pledge reminders
  • Supporting coordination and tracking of stewardship reporting for principal and major gift donors

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum of three (3) years of experience providing administrative support in a fundraising environment
  • Demonstrated experience providing support with donor relations, stewardship, and external stakeholder activities, including managing preparation for small and large scale donor, academic or committee meetings with scheduling, briefing meetings, briefing notes, logistical details, and workback schedules.
  • Experience interpreting, applying and advising on policies and procedures
  • Demonstrated administrative experience coordinating meetings, tracking contracts/agreements and independently drafting and editing correspondence, and documents (gift agreements templates, thank you letters, briefing notes)
  • Demonstrated data management experience producing stewardship reports for complex projects and developing professional presentation decks and a variety of communications
  • Highly developed computer skills with demonstrated experience working with MS Office, and databases; experience with Arbor andweb reporting or a similar fundraising database is preferred
  • Experience establishing and maintaining digital filing systems
  • Ability to work in a fast paced and results oriented environment
  • Exceptional communication and interpersonal skills, with a proven ability to collaborate with a variety of stakeholders i.e. volunteers, team members, donors
  • Strong team player who values collaboration
  • Strong organizational and analytical skills
