Your Opportunity

Take the first step towards designing your career with Stantec. We have an exciting role and challenging opportunity for a Data Management Coordinator to join our team. Reporting to the Supervisor Data Management, the primary role is to enter and maintain accurate and up-to-date employee records within our HR system, ensuring data integrity and confidentiality. The successful candidate will manage their workload proactively, updating and analyzing HR records across various HR and Financial systems, supporting data quality. This position is ideal for a self-motivated individual passionate about HR systems and workflow understanding.

This role will support the maintenance of employee data across North America and will collaborate closely with HR partners across various locations and countries. Join our team and play a key role in ensuring HR data integrity.

Your Key Responsibilities

  1. Accurately input all routine and assigned data changes into the HR Management system (Oracle).
  2. Ensure data accuracy, completeness, and consistency using quality control methods following HR data entry procedures.
  3. Verify that paperwork is complete with approvals before data entry.
  4. Maintain appropriate turnaround times for data entry.
  5. File documents in the respective online employee files where applicable.
  6. Use HR Service Center technology effectively to review and process daily work assignments.
  7. Identify and troubleshoot gaps or discrepancies in data entry processes, standards, or system issues, and collaborate on corrective actions.
  8. Participate in data entry and cleanup projects as assigned.
  9. Perform other similar duties as needed.

Qualifications

  • Bilingual in French and English required.
  • Critical thinking and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to manage heavy workloads and meet deadlines.
  • Collaborative mindset for remote team work.
  • Understanding of data management best practices.
  • Knowledge of HR policies and procedures.
  • Basic understanding of data analytics and auditing principles.

Education and Experience

  • 1-3 years of proven data entry experience.
  • Proficiency in MS Excel beneficial.
  • Knowledge of HRIS systems (preferably Oracle) and Service Center ticketing systems (preferably ServiceNow).
  • Accurate typing and data entry skills.
  • Ability to work autonomously, review work regularly, and meet objectives.

Typical environment involves working with computers for long periods.
