Position Summary

We are seeking a highly organized and detail-oriented Talent Coordinator to provide essential support to our Global Talent Team operating in the US, Canada, UK, and Europe. This role will focus on ensuring accurate and efficient handling of administrative HR tasks, including employee records management, compliance documentation, and freelancer coordination. The successful candidate will act as a cornerstone of the Talent team, enabling seamless operations across our global workforce while maintaining strict confidentiality.

Key Responsibilities
  • Annual Salary and Bonus Processes
    • Prepare and distribute annual salary and bonus letters.
    • Ensure accurate updates to each system with employee titles, salaries, and manager assignments.
    • File letters in the individual electronic personnel file per country
  • Employee Data Management
    • Update employee records for address changes and organisational changes across systems
    • Process employee anniversaries by sending updates and maintaining the talent internal sites
  • Recruitment and Onboarding Support
    • Send 60/90-day check-in emails to new hires and resolve outstanding responses within 2 weeks.
  • Employment Documentation
    • Process employment verifications for current and former employees.
    • Track and collect acknowledgements to policy changes, new compensation policies in keeping with ISO compliance
    • Maintain employee files by adding salary changes, commission letters, and immigration-related documentation.
    • Provide state/province and city data of employee location to managers in organising internal meetings and adhering to standard Ultiflex rules
  • Freelancer Process Management
    • Manage bottlenecks & collection of documents and file in electronic personnel files.
  • LinkedIn Competitive Intelligence
    • Quarterly mining of data from LinkedIn in updating competitive intelligence data for each main competitor in our domains.
Key Skills, Knowledge & Professional Education
  • Bachelor's degree in Human Resources or related field
  • Strong attention to detail and ability to manage multiple tasks with accuracy.
  • Proficiency in HRIS systems, Microsoft Office Suite (Excel, Word, Outlook), Google Suite, and Quickbase.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities in both English and French.
  • High level of integrity and ability to handle sensitive and confidential information with discretion.
Preferred Qualifications
  • 1+ years of experience in an administrative or HR-related role.
  • Familiarity with global HR processes and compliance requirements.
  • Experience in a remote, multicultural team environment.
