Job description

Are you a detail-oriented customer service professional looking to advance your career as a Customer Care Representative within the growing natural pet products distribution industry? We are seeking a dedicated and organized Customer Care Representative to join our client's dynamic team in Delta, BC. As a key link between clients, sales teams, and warehouse operations, the Customer Care Representative plays a vital role in executing day-to-day business administration and customer order management. In this permanent, full-time role, the Customer Care Representative will handle order entry, customer service inquiries, billing adjustments, and daily enterprise software transactions in a fast-paced, high-volume environment. If you excel at multi-tasking, maintaining accurate records, and providing outstanding service to clients, this Customer Care Representative position offers a stable schedule and a highly supportive work culture.

Customer Care Representative acts as the primary frontline contact for clients across western Canada. Day-to-day responsibilities require high numerical accuracy, active listening, and hands-on familiarity with Enterprise Resource Planning (ERP) and Warehouse Management Systems (WMS). Specifically, you will rely heavily on Sage 300 to manage client accounts, process purchase orders, post sales invoices, and issue credit notes. Concurrently, you will leverage HighJump WMS to track inventory availability, coordinate real-time warehouse fulfillment, and verify order dispatch timelines with logistics teams. By bridging business administration and order fulfillment, the Customer Care Representative ensures that every natural pet product shipment arrives accurately and on schedule.

Because this position operates in a key Canadian distribution hub serving a diverse client base, effective communication is essential. The Customer Care Representative must demonstrate strong verbal and written English communication skills to interact seamlessly with supply chain partners, commercial clients, and internal logistics departments across regions.

Advantages
  • Competitive starting wage of $23.65 per hour with steady full-time income.
  • Permanent position offering guaranteed 40 hours per week.
  • Desirable daytime schedule: Monday to Friday, 8:00 AM to 4:30 PM (no evenings or weekends).
  • Direct hands-on experience utilizing industry-standard business administration software including Sage 300 and HighJump WMS.
  • Opportunity to work with an established distributor in the expanding natural pet products industry.
  • Convenient working location in Delta, BC, with a collaborative and team-oriented company culture.
  • Professional development and guidance provided through Randstad’s expert business administration recruitment team.
Responsibilities
  • Receive, verify, and accurately input high-volume customer orders into Sage 300 ERP software in a timely manner.
  • Monitor order status, track daily shipment dispatches, and manage inventory integration using HighJump WMS.
  • Post customer invoices, review account statements, process billing entries, and issue credit adjustments as required.
  • Answer incoming phone calls and respond to client email inquiries regarding product specifications, delivery schedules, and order changes.
  • Liaise directly with Delta warehouse staff, logistics teams, and supply chain managers to resolve order discrepancies or shipping delays.
  • Maintain meticulous customer records, update database files, and document communication logs for commercial accounts.
  • Investigate and resolve customer inquiries, short shipments, or pricing discrepancies with high accuracy and professional care.
  • Support general business administration functions and daily office duties to maintain smooth order management workflows.
Qualifications
  • Minimum 1 to 2 years of hands-on experience in customer care, order entry, or administrative office roles within a distribution or wholesale environment.
  • Demonstrated proficiency operating Sage 300 (or similar enterprise ERP software) for order entry, invoice posting, and credit processing.
  • Hands-on experience or working familiarity with HighJump WMS (or related warehouse management systems) for order tracking and inventory management.
  • Exceptional attention to detail and high numeric accuracy when entering order details and processing financial transactions.
  • Excellent verbal and written communication skills in English to handle customer service phone calls and professional email correspondence.
  • Strong computer literacy, including intermediate proficiency with Microsoft Office applications (Outlook, Excel, Word).
  • Proven ability to multi-task, prioritize daily workload, and stay calm under pressure in a fast-paced business administration environment.
  • Strong problem-solving skills and a customer-first approach to resolving inquiries effectively.
  • High school diploma or equivalent secondary education background.
