Caldwell Investment Management Ltd. is seeking a dynamic and detail-oriented CRM & Marketing Operations Specialist to help lead the optimization of our client engagement infrastructure and elevate our marketing execution. This hybrid role blends CRM system ownership with hands-on marketing responsibilities, making it ideal for a professional who thrives while working at the intersection of technology, process improvement, and creative communications.

Reporting to the Senior Vice President, Sales and Corporate Development, this role will serve as the internal manager, responsible for all Caldwell Investment Management client communications and brand positioning through our relationship management (CRM) platform.The CRM & Marketing Operations Specialist will seek to enhance the effectiveness of our sales efforts, improve data integrity, and support targeted marketing initiatives. The ideal candidate will also spearhead the design, branding and distribution of sales materials and digital content to help elevate Caldwell Investment Management’s positioning in the Canadian investment landscape.

Key Responsibilities

  • Customize and manage the CRM system to align with firm-wide processes and client engagement strategies
  • Build and optimize CRM workflows, automation rules, validation rules, and dashboards
  • Generate reports and data analytics to uncover trends, sales insights, and campaign opportunities
  • Coordinate third-party CRM integrations (email marketing, client portals, task management, etc.)

Marketing Operations:

  • Design and produce Caldwell Investment Management marketing materials (highlight sheets, commentary layouts, presentations, digital ads) using Adobe Creative Suite, MS Word, PowerPoint, etc.
  • Collaborate with sales and investment teams on campaign planning and content development
  • Oversee corporate website updates, blog posting, and SEO enhancements
  • Execute email marketing campaigns, track analytics, and manage contact segmentation
  • Assist with regulatory documentation and internal/external content distribution

Qualifications and Experience

  • 3–5 years of experience in a CRM or Marketing Operations role (preferably within financial services)
  • Post-secondary degree or diploma in Marketing, Business Technology, or related field
  • Extensive experience with CRM platforms, marketing automation tools, and data reporting
  • Proficiency in Adobe InDesign, Illustrator, Photoshop, Microsoft Office, and WordPress

The job candidate should also possess the following competencies:

  • Exceptional interpersonal and sales skills
  • A positive and flexible attitude
  • Good organizational skills and ability to set priorities and meet deadlines
  • Proficient with Microsoft office, including Excel and PowerPoint
  • The ability to partner with the business to achieve firm and team goals
  • Strong written and verbal communication skills
  • The ability to proactively identify issues and recommend solutions
  • A good work ethic
