Job summary

Canadian North is seeking a Facilities Coordinator to manage leases, housing, travel, and procurement while supporting budget and software administration. You’ll coordinate office space, audits, and safety compliance across operations.

Qualifications

  • Post Secondary Education (2 years).
  • Three (3) years of previous experience.
  • Ability to handle multiple complex tasks with minimal and remote supervision.
  • Highly organized with ability to identify & adjust priorities.
  • Demonstrated ability to work as a collaborative team member with high stakeholder involvement.
  • Superior communication skills, both oral and written, requiring professionalism, foresight and tact.
  • Excellent customer service and focus on both internal and external customer satisfaction.
  • Some knowledge of Code requirements and all other regulations related to facility management and operations.
  • Previous supervisory experience preferred.
  • Strong MS Office skills (Word, Excel).
  • Experience with AutoCad an asset.
  • Bilingual in English and French preferred.
  • Ability to obtain and retain a Restricted Area Pass in accordance with the Airport Restricted Area Access Clearance Program regulated by Transport Canada.

Responsibilities

  • Maintains facility leases and liaises with lessors, including negotiating and renewing lease agreements.
  • Coordinates scheduling and use of corporate transient housing, including accommodation assignments, housekeeping services, and occupancy tracking.
  • Coordinates travel arrangements and accommodations for rotational employees, contractors, and visitors.
  • Manages purchasing and procurement activities to support facility operations, departmental requirements, and transient housing needs.
  • Coordinates and manages office space allocations, including hot desk arrangements and workspace planning.
  • Maintains annual Facilities fire, life, and safety audit records and provides updates on deficiencies and corrective actions.
  • Ensures compliance with Health and Safety requirements, labour and environmental regulations, security protocols, and codes.
  • Liaises with vendors, service providers, and hotel partners to negotiate, renew, and administer corporate agreements and service contracts.

Job description

Position Summary

The Facilities Coordinator is responsible for a range of facilities management activities and liaises with external service providers, including lessors and other organizations, as well as other internal departments to ensure the smooth operation of Canadian North facilities. The incumbent also supports the Senior Manager, Facilities Operations with internal processes such as budget development and financial reviews and acts as the Administrator for facilities related software applications.

What You'll Do

Facilities Management & Compliance

  • Maintains facility leases and liaises with lessors as needed, including negotiating and renewing lease agreements.
  • Coordinates scheduling and use of corporate transient housing, including accommodation assignments, housekeeping services, and occupancy tracking
  • Coordinates travel arrangements and accommodations for rotational employees, contractors, and visitors.
  • Manages purchasing and procurement activities to support facility operations, departmental requirements, and transient housing needs.
  • Coordinates and manages office space allocations, including hot desk arrangements and workspace planning.
  • Maintains accurate annual Facilities fire, life, and safety audit records and provides updates on deficiencies and corrective actions.
  • Ensures work is performed in compliance with Health and Safety requirements, labour and environmental regulations, security protocols, and applicable codes and standards.
  • Liaises with vendors, service providers, and hotel partners to negotiate, renew, and administer corporate agreements, preferred rates, and service contracts that support organizational operations.

Financial and Performance Management

  • Assists with various expense, progress, and monthly reports (e.g., KPIs and departmental reporting).
  • Monitors financial systems used by Facilities, including SAP Concur and UltiPro.
  • Monitors, administers, and facilitates renewals of corporate mobile phone contracts and related service agreements.
  • Tracks and coordinates vendor agreements, service contracts, and related procurement expenditures to ensure cost-effective operations.

Other Responsibilities

  • Provides indirect supervision to Facilities Administrative Assistants in their work, as required.
  • Monitors, administers, and actions various Facilities-related systems, including the Facilities Task System, security systems, and other operational platforms.
  • Assists in the coordination and implementation of special projects, as required
  • Responds to and manages a variety of ad hoc operational, administrative, facilities, and housing-related requests to support business needs and maintain continuity of operations.
  • Works in compliance with the mission, goals, performance standards, and parameters established by Canadian North.
  • Identifies and implements innovative changes and best practices while leading by example and demonstrating the company's values.
