Position Summary:
Reporting tothe Manager – Marketing, ContractsAnalyst & Office Administrator is accountable for counterparty confirmations of all trades in the crudesupply and product marketing, primarily ensuring that the trades have beenproperly recorded into NWR’s systems including pricing and legal terms. The Contracts Analyst & OfficeAdministrator will be responsible for the administration of the small Calgaryoffice space as well as the processing of purchase orders and purchaserequisitions.
Responsibilities:
- Supports the recording of transactionscovering contractual sales of refined product and purchase and/or sale offeedstock, including:
- Deal review to ensure alignment betweenthe counterparty and NWR including compliance with legal terms and conditions
- Draft deals on NWR paper as required
- Filing adequate support for internal /external audit standards
- Follow-up with counterparties and/ortrader in cases of trade mismatches and coordinating corrections
- Manage price components table in STORMto ensure formulas are accurate and add/remove components as it best serves thebusiness
- Resolve price discrepancies that mayarise from daily invoiced deals
- System entry and correction as required(STORM)
- Provides the Marketing team supportincluding PO/PR admin support in Maximo and liaison with Supply Chain Managementas required;
- Confirms broker invoices and completesmonthly reconciliation;
- Supports the approved GTC and nettingagreement list;
- Manages online data room by addingcontracts, long term agreements, and security;
- Builds and maintains effective workingrelationships with Management;
- Supports collaboration within andoutside the Marketing function to ensure exceptional stakeholder serviceinternally and externally;
- Administration of the Calgary officelocation with direction from Manager – Marketing including:
- Distribution of incoming mail
- Ordering of office supplies, oversightof kitchen and liaison with building maintenance
- Administer access cards and employeeoffboards
- Assist with set up for ExecutiveLeadership Committee (ELC) meetings
- Provide technical support with regardsto teleconferencing/web meetings, and printer troubleshooting
- Coordination of office moves
- Liaison between NWR and PropertyManagement company
- Coordinationof Calgary office social activities in alignment with the refinery.
- Co-chair Calgary Health, Safety andEnvironment (HSE) Committee:
- Coordinates semi-annual HSE meetings
- Administer the building safety programthrough the WPS app ensuring all staff have access to emergency training
- All other duties as assigned.
Requirements:

- 5+ years of administrative experience; Broadrange of experience in administrative and organizational roles;

- Ability to analyze and resolve problemsin a steady-paced environment, responding to multiple internal and externalstakeholders;
