Job Description

The Office Manager is responsible for all aspects of office routines and clerical duties for residents and employees in the retirement residence. They will assist in maintaining a safe and secure environment for residents, visitors, and staff.

Key Responsibilities
  • Respond to resident or family inquiries and concerns, ensuring appropriate action or escalation.
  • Oversee and coordinate front desk staff.
  • Support team members and participate in team activities.
  • Maintain accounting records, prepare resident billings, and handle billing inquiries.
  • Perform payroll duties, maintain employee records, and manage bank deposits.
  • Welcome and orient new residents, family members, and visitors.
  • Communicate courteously with residents, visitors, and volunteers.
  • Follow health and safety policies, report hazards, and work safely.
  • Manage incoming and outgoing mail.
  • Organize workflow, coordinate meetings, and schedule appointments.
Ideal Candidate
  • Minimum 2 years of related experience.
  • Post-secondary diploma or certificate in financial management or bookkeeping.
  • Experience in accounting/bookkeeping.
  • Experience in a retirement or healthcare setting is an asset.
  • Empathy for seniors and individuals with disabilities.
  • Strong communication skills and patience.
  • Initiative, good judgment, supervisory skills.
  • Proficiency in Microsoft Office, especially Excel and Word.
