Position Summary

The Contract and Close-out Coordinator (CCO) works closely with the Project Managers and Site Supervisors. The CCO is responsible for collecting, recording, collating and finalizing all documents and paperwork related to properly closing jobs so that final invoicing can be issued. The successful CCO uses their understanding of construction building documents and / or academic training in an industry related course. This position requires someone who is client centered, results oriented, team focused, technically proficient, resourceful, hyper-organized, energetic, and able to manage competing priorities and demanding deadlines.

Responsibilities
  • Ability to work efficiently and cooperatively with contractors, suppliers and others throughout various phases of the project, to achieve project success and collect relevant documentation for project files
  • Interface with city building officials to facilitate the closing of permits
  • Coordinate with City officials and Site Supervisors to schedule preliminary and final inspections
  • Interface and coordinate with MARANT staff including Project Managers, Project Coordinators, Site Supervisors and Vice Presidents to update status of all current projects for start and completion timing
  • Identification and tracking of deliverables
  • Use a variety of methods to resolve issues and overcome delays in obtaining documents required to finalize files
  • Create SharePoint folders of final close out binders for distribution; prepare and ship final close-out binders, as needed
  • Communicate with Project Managers regarding delays in obtaining documents to collaboratively resolve roadblocks
  • Escalate delays / issues to project Coordinator, Project Manager, and / or Vice President, as appropriate
  • Provide updated communication regarding the status of the close-outs all parties involved including clients
  • Update project logs and schedules to ensure target closing times are met
  • Resolve client, contractor, and stakeholder issues by responding to questions and concerns, and ensuring enquiries are handled promptly and properly
  • Direct paperwork and enquiries to the appropriate department if outside the close-out scope
  • City wide travel may be required on occasion – i.e. pick up issued permits, drawings
  • May be asked to assist in closing tenders at site locations on occasion, completing bid forms with final pricing on time according to the closing requirements
