Job summary

Elexicon Energy is seeking a Contract Administrator to support the Locates, Damage Prevention, & Inspections team within Asset Management and Distribution Operations. You will manage contracts with subcontractors, track schedules and budgets, and ensure timely invoice submission.

Collaboration with internal and external teams is essential to maintain service quality. Ideal candidates will have post-secondary education in a related field, strong attention to detail, and proven problem-solving

Qualifications

  • Post-secondary education in Business, Finance, Engineering, or related field preferred; equivalent experience considered.
  • Understanding of contract management and related compliance requirements.
  • Minimum 2 years of relevant work experience.

Responsibilities

  • Host weekly meetings with internal/external stakeholders to monitor progress, invoicing and risks for contracted services.
  • Act as liaison between Elexicon Energy and subcontractors.
  • Prepare scorecards and metrics on subcontractor performance and participate in continuous improvement.
  • Review and provide feedback on cost/schedule estimates from subcontractors.
  • Track internal and subcontractor resource availability to optimize project scheduling.
  • Oversee project budgets and financial transactions, including invoices submission.
  • Identify and escalate issues or risks to maintain service quality.
  • Seek opportunities to improve service delivery and support process initiatives.
  • Ensure compliance with company policies and industry regulations in all transactions.
  • Collaborate with subcontractors and internal stakeholders on project discrepancies and regulatory changes.
  • Extract and process data from multiple systems for submission and reconciliation purposes.
  • Attend to administrative matters delegated by supervisor/manager.
  • Maintain confidentiality in all business matters.
  • Other duties as required.

Job description

The Contract Administrator is responsible for supporting the Locates, Damage Prevention, & Inspections team within the Asset Management and Distribution Operations division. The primary focus of this position is to effectively manage contracts with subcontractors engaged in work on behalf of our company. This involves meticulous tracking of project schedules, ensuring projects are completed on time and within budget, and facilitating the prompt submission of detailed and accurate invoices. The Contract Administrator works closely with internal and subcontractor teams to provide oversight on the delivery of contracted services and ensure the accuracy of the submitted invoices.
The successful candidate should demonstrate a strong attention to detail, exceptional problem-solving skills, and the ability to identify opportunities for process enhancement. Reporting to the Supervisor, Locates, Damage Prevention, & Inspections, the Contract Administrator will be responsible for maintaining records, resolving issues, and ensuring strict compliance with company policies and industry regulations.
DUTIES & RESPONSIBILITIES
  • Host weekly meetings with various internal/external stakeholders to monitor progress, risks, invoicing, etc. for contracted services.
  • Act as the liaison between Elexicon Energy and the assigned subcontractors.
  • Prepare scorecards and metrics on the performance of the subcontractors and participate in continuous improvement discussions.
  • Review and provide feedback on the cost/schedule estimates submitted by subcontractors.
  • Track and understand internal and subcontractor resource availability to optimize project scheduling.
  • Oversee project budgets and financial transactions, including the accurate and prompt submission of invoices.
  • Identify and escalation issues or risks to maintain a high level of service.
  • Seek opportunities to improve service delivery and support process initiatives.
  • Ensure compliance with company policies and industry regulations in all transactions.
  • Collaborate with subcontractors and internal stakeholders on project discrepancies, adjustments, and regulatory changes.
  • Extract and process data from multiple systems for submission and reconciliation purposes.
  • Attend to administrative matters delegated by the Supervisor/Manager.
  • Maintain confidentiality in all business matters.
  • Other duties as required.
WHAT YOU NEED TO BE SUCCESSFUL
  • Advanced knowledge of Microsoft Suite including Excel, Microsoft Visio, PowerPoint.
  • Ability to exercise independent judgment and perform duties with minimal supervision.
  • Excellent interpersonal skills with a strong customer-driven focus.
  • Strong written and verbal communication, including presentation skills.

MINIMUM REQUIREMENTS
  • Post-secondary education in Business, Finance, Engineering, or a related field is preferred. Equivalent professional experience will also be considered.
  • Understanding of contract management.
  • Minimum 2 years of relevant work experience.

Compensation Package: $76,800 - $96,000 CAD annually + Competitive Bonus + Benefits + OMERS Pension Plan

The above range reflects the reasonable estimate for the position at the time of posting. Within the range, hiring compensation will be determined based on relevant qualifications, experience, skillset, education/ training, and other organizational needs.
