Role Description

We are seeking a highly organized and customer-focused Collections Specialist to join our team in a full-time remote role based in Ontario.

The Collections Specialist will be responsible for managing accounts receivable activities, monitoring outstanding balances, and ensuring timely collection of payments from clients. This role involves proactive communication with customers by phone and email, resolving billing inquiries, negotiating payment arrangements, maintaining accurate collection records, and partnering with internal teams to improve cash flow and customer experience.

The ideal candidate is detail-oriented, professional, solutions-driven, and comfortable managing multiple accounts while maintaining strong client relationships.

Key Responsibilities

• Manage and monitor accounts receivable portfolios to ensure timely collection of outstanding payments.
• Contact clients via phone, email, and virtual meetings regarding overdue invoices and payment arrangements.
• Investigate and resolve billing discrepancies, payment disputes, and account-related inquiries.
• Maintain accurate documentation of collection activities, payment commitments, and account status updates.
• Prepare and analyze collection reports, aging reports, and cash flow forecasts.
• Identify high-risk accounts and recommend appropriate collection strategies.
• Collaborate with Finance, Customer Service, and Operations teams to improve collections processes and customer satisfaction.
• Support continuous improvement initiatives to optimize collection efficiency and reduce overdue balances.

Qualifications

• Experience in Accounts Receivable, Collections, Credit Control, or Billing.
• Strong debt collection and cash collection skills with a customer-centric approach.
• Excellent verbal and written communication skills.
• Solid understanding of invoices, payment terms, account reconciliation, and basic accounting principles.
• Proficiency in Microsoft Excel, Google Sheets, and accounting/invoicing software.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Exceptional attention to detail and problem-solving abilities.
• Ability to work independently in a remote environment while collaborating effectively with cross-functional teams.
• Must reside in Ontario and be legally eligible to work in Canada.
