Job Title: Administrative Assistant
Join our team at Club Demonstration Services (CDS), the in-house product sampling company for Costco Wholesale, with over 35 years of helping Costco members make shopping decisions through high-quality product demonstrations and marketing services.
Position Overview
Under direct supervision, the Administrative Assistant provides effective administrative and secretarial support to the Country Manager and assigned departments, handling day-to-day tasks and activities.
Key Responsibilities
- Manage emails, invoices, expenses, and overall office and calendar management in a timely manner.
- Serve as a liaison between Canadian operations and sales teams, ensuring clear and consistent communication. Support project management efforts.
- Collaborate with cross-functional teams and maintain strong partnerships with global teams to ensure satisfaction.
- Perform typing, filing, and financial record-keeping.
- Prepare weekly Excel reports and analysis.
- Support the creation of internal and external PowerPoint presentations.
- Schedule and coordinate meetings and conferences.
- Assist with team-building and engagement calendars and communications.
- Organize monthly, quarterly, and annual team events.
- Procure office supplies and coordinate mail services.
- Handle non-routine correspondence and manage confidential information.
- Provide excellent customer service to internal and external contacts, communicating effectively both orally and in writing.
- Manage interactions with external callers and visitors, as well as internal contacts at all organizational levels.
Position Requirements
- At least two (2) years of experience as an Administrative or Executive Assistant.
- Experience with executive reporting, calendar management, and travel arrangements.
- Strong communication and customer service skills are assets.
- Ability to plan, prioritize, and organize a diversified workload.
- Exposure to Windows or similar operating environments.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Additional Qualifications
- High School diploma; Office Administration certificate or diploma is a plus.
- Fluent in French (verbal and written).
