Job Title: Administrative Assistant

Join our team at Club Demonstration Services (CDS), the in-house product sampling company for Costco Wholesale, with over 35 years of helping Costco members make shopping decisions through high-quality product demonstrations and marketing services.

Position Overview

Under direct supervision, the Administrative Assistant provides effective administrative and secretarial support to the Country Manager and assigned departments, handling day-to-day tasks and activities.

Key Responsibilities
  1. Manage emails, invoices, expenses, and overall office and calendar management in a timely manner.
  2. Serve as a liaison between Canadian operations and sales teams, ensuring clear and consistent communication. Support project management efforts.
  3. Collaborate with cross-functional teams and maintain strong partnerships with global teams to ensure satisfaction.
  4. Perform typing, filing, and financial record-keeping.
  5. Prepare weekly Excel reports and analysis.
  6. Support the creation of internal and external PowerPoint presentations.
  7. Schedule and coordinate meetings and conferences.
  8. Assist with team-building and engagement calendars and communications.
  9. Organize monthly, quarterly, and annual team events.
  10. Procure office supplies and coordinate mail services.
  11. Handle non-routine correspondence and manage confidential information.
  12. Provide excellent customer service to internal and external contacts, communicating effectively both orally and in writing.
  13. Manage interactions with external callers and visitors, as well as internal contacts at all organizational levels.
Position Requirements
  1. At least two (2) years of experience as an Administrative or Executive Assistant.
  2. Experience with executive reporting, calendar management, and travel arrangements.
  3. Strong communication and customer service skills are assets.
  4. Ability to plan, prioritize, and organize a diversified workload.
  5. Exposure to Windows or similar operating environments.
  6. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Additional Qualifications
  • High School diploma; Office Administration certificate or diploma is a plus.
  • Fluent in French (verbal and written).
