Job summary

City of Edmonton is seeking a Word/Data Processing Clerk II to support the Director and CADX Unit, handling executive communications, invoicing, and records management. The ideal candidate has a high school diploma with business subjects or an administrative certificate, strong written and verbal communication, and experience with SAP Ariba and RAMS.

Qualifications

  • Completion of High School Diploma including business subjects with emphasis on word and information processing or completion of an accredited administrative professional certificate program.

Responsibilities

  • Provide a single point of contact for the Director's office and coordinate with Branch Management Office and other teams.
  • Ensure all correspondence and submissions are properly formatted, typographically correct, and approved by the Director.
  • Redirect invoices and mail inquiries and direct requests to appropriate CRC programs.
  • Administer a filing system for document management, retention, and distribution in compliance with ATIA and records management procedures.
  • Edit and manage section communications, including content gathering, layout, and distribution.
  • Support Executive Document Readiness and ensure materials are accurate before Director Approval.

Job Number: 56117As the operational backbone of the CADX Unit, the Section Administrator works alongside the Director and leadership team to keep leadership priorities, cross-team scheduling, and time sensitive council communications moving seamlessly. In this dynamic role, you will be the central point of contact balancing executive support from proofreading and fact checking critical briefings to tracking key leadership decisions with essential day-to-day operations like SAP Ariba financial processing, section-wide communications, and City of Edmonton records compliance.What will you do?Providing a single point of contact for the Director's office with the Branch Management Office (BMO) and other teams across Community Services and other Departments across the CityEnsures all correspondence including council inquiries, briefing notes, communications materials, coordinated responses and submissions are in proper format, typographically correct, and convey accurate and appropriate information prior to Director ApprovalRedirecting incoming invoices and mail inquiries, leveraging understanding of various CRC programs to direct requests appropriatelyAdministering a filing system for document management, retention, disposition, and distribution in compliance with ATIA and records management proceduresInternal Communication Strategy and Production: Managing key section communications, including acting as the editor of regular unit-level and section-level communications. This involves managing content gathering, layout, and distribution to ensure essential communication support is consistently delivered across all CADX areasExecutive Document Readiness: Supporting the Director's office by ensuring all correspondence (including communications materials and coordinated responses) is in proper format, typographically correct, and conveys accurate and appropriate information before Director Approval. The role acts as a regular contributor to the Community Recreation and Culture Branch UpdateEnsuring staff accurately and timely submit client billings to Corporate Billings through the creation of forms and spreadsheetsCreating and submitting invoices through Accounts Receivable for client contracts and other payables as directed by managementQualifications:Completion of High School Diploma including business subjects with emphasis on word andinformation processing or completion of an accredited administrative professional certificate programMinimum two years of progressively responsible, diversified office and administrative experienceSkills required for success:Ability to work independently within established policies, procedures and section objectivesAbility to make independent decisions relative to coordinating and communicating requests for actionAbility to deal with confidential information on a routine basis with a high degree of judgement and discretionAbility to recognize politically sensitive issues and bring matters of priority to the SeniorManager’s attentionAbility to summarize reports or other material and to compose effective and accurate correspondenceExcellent written and oral communication skills; strong interpersonal skills for interacting with staff at all levels of the organizationAbility to plan/organize Director’s scheduleKnowledge of the purpose, organization, policies and procedures governing the section and wider departmentConsiderable knowledge of the principles of office management and of progressive office procedures and systems.
