What will you do?
- Provide administrative support to the management team, including processing documents, managing calendars, and coordinating travel
- Serve as the first point of contact for the Kathleen Andrews Transit Garage, responding to inquiries, directing visitors, and processing mail and couriers
- Deliver exceptional customer service by assisting with a range of requests, such as processing invoices, coordinating repairs, and managing stationery orders
- Offer general support to operators, including processing ID card requests, managing locker assignments, and distributing corporate gifts
- Maintain accurate records and files, ensuring compliance with the City of Edmonton's retention policies
- Prepare and distribute minutes for various meetings, including Joint Health and Safety, Transit Delivery Supervisor, and Bus Operations Clerk meetings
- Troubleshoot minor technical issues with office equipment and arrange for repairs as needed
- Support the processing of human resources documents, including pre-filling counselling forms and maintaining a tracking sheet of assignments
- Assist with the coordination of special events and staff appreciation activities
- Perform other related duties as assigned
Qualifications- Completion of Grade twelve (12), including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in computer applications
- Minimum of two (2) years of diversified word and information processing experience, including experience with reception, customer service, creating/receiving purchase orders in Ariba, processing invoices and minute taking
- Must achieve a 45 WPM typing speed
Assets:
- Experience with ETDS, TOPS, PeopleSoft, POSSE, SDMS and Remedy
Skills required for success:
- Intermediate- advanced level proficiency with Google Workspace (Docs, Sheets, Forms, Calendar, Meet, etc.)
- Prior experience using DocuSign and Ariba
- Ability to maintain confidentiality and handle sensitive information with discretion
- Problem-solving and decision-making skills
- Excellent verbal and written communication skills
- Exceptional time management and organization skills with the ability to adapt to changing priorities and meet deadlines in a fast-paced environment
- Ability to work independently and as part of a team
- Strong interpersonal skills, including the ability to effectively and tactfully communicate and develop relationships with various internal and external stakeholders and partners

Conditions of Employment:
- Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position, there may be a cost associated with this requirement

Work Environment:
- This is a large transit garage, considerable walking is required
- The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance
