Job description

The Dedicated Accessible Transit Service -DATS mission is to provide customer-focused, safe, and reliable door-to-door shared ride services to those who are unable to use conventional transit. All staff are expected to work in support of the mission and in accordance with DATS values of safety, respect, customer service, compassion, and teamwork.

If you enjoy providing customer service and are able to do great work with minimum supervision, this is a perfect position for you. As the Operations Clerk, you will provide administrative support to Paratransit Operations, including the Supervisor of Operations, the Operations Supervisors, the Operators and Management team members.

What will you do?

  • Manage unit filing, including maintaining appropriate electronic and hard-copy filing and record-keeping standards in accordance with corporate/work area standards, policies, and procedures - such collecting and distributing operator training resource materials
  • Support the delivery of meetings and operator training sessions, including booking rooms/facilities, obtaining required equipment, preparing agendas, managing attendance lists, taking minutes, and following up on action items
  • Manage the flow of incoming and outgoing correspondence, ensuring documents and records are properly entered and recorded
  • Format and draft various documents, including memos, letters, reports, inquiries, emails, etc
  • Provide general administrative and data entry support to the unit, including creating files, entering clerical data into various systems and managing clerical tracking sheets
  • Coordinate office equipment and furniture (such as chairs and floor mats) including placing orders and coordinating the accurate delivery/placement/repair
  • Receive, prioritize, and answer/direct a variety of phone and email inquiries from internal employees, members of the public, and staff from other areas of the City, collecting information, answering questions, and/or redirecting inquiries to the appropriate business area
  • Provides clerical/computer support to new hires during the onboarding process, including collecting required information/documentation, taking photos, preparing/distributing employee passes/parking tags and performing other support activities within applicable timelines
  • Support the implementation of operator modified work plans, including providing diverse administrative support and direction to staff
  • Develop and maintain driver and vehicle files (such as vacation sign-up, attendance management, modified work plans, route history files, etc) as per established records retention procedures
  • Compile, track, and input driver and vehicle information into the DATS database program
  • Receive, record, and organize work hour and absence records, and submit to the supervisor for review
  • Track driver vacation entitlements and carry-over
  • Receive and track time off request forms from operators
Qualifications

  • Completion of Grade 12 or higher (or equivalent) OR Completion of an appropriate certificate program from an approved business school/college
  • Minimum of two (2) years of progressively responsible and diversified data entry/information processing experience, including general office procedures

Skills required for success:

  • Knowledge of applicable policies, rules, regulations and procedures of the department; understanding of operational and unionized environments is preferred
  • Proficiency in applicable software and databases, such as Google Workspace (Gmail, Calendar, Sheets, Docs, etc) and the ability to adapt to and learn new evolving technology
  • Demonstrated ability to work independently and actively participate as a member of a larger team
  • Ability to perform tasks with a high level of political sensitivity and accuracy, and in accordance with established policies, procedures and formats
  • Ability to manage a large volume of work with diverse and sometimes conflicting demands and timelines, including strong prioritization and time management skills
  • Ability to establish and maintain effective working relationships with a focus on balancing competing requirements within the various units and ensuring service is delivered accordingly
  • Ability to perform basic mathematical and financial calculations, including ability to manage financial processes such as invoice payment and account reconciliations
  • Excellent verbal and written communication skills, including elevated skills in grammar, punctuation and spelling
  • Organizational and writing skills, including the ability to create meeting agendas, coordinate meeting guests and rooms, prepare meeting materials and presentations, take minutes and create/maintain a tracking system for action items

Work Environment:

  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
