About the Role

As a Billing Coordinator, you will play a vital role in supporting the financial operations of the firm’s practice groups. This position involves managing the end-to-end billing cycle, coordinating with lawyers and assistants, and ensuring billing accuracy and compliance with firm and client requirements.

What You’ll Do

  • Process and edit pre-bills, inputting necessary changes in the billing system (CMS).
  • Finalize and post monthly, quarterly, or on-demand billings.
  • Prepare final bills for lawyer review and ensure timely client submissions, including e-billing.
  • Transfer time and disbursements according to firm policies and lawyer instructions.
  • Monitor billing systems to maintain accurate client data.
  • Train new legal assistants on billing processes and procedures.
  • Provide backup support to other billing coordinators as needed.
  • Collaborate with timekeepers and legal staff to ensure accurate documentation and filing.
  • Assist with additional administrative or financial duties as assigned.

What You Bring

  • Grade 12 diploma; post-secondary education or relevant combination of education and experience.
  • 1-3+ years of experience in legal billing or financial roles within a professional services firm.
  • Solid understanding of billing cycles, accounting theory, and e-billing platforms.
  • Strong proficiency in Microsoft Office, especially Word, Excel, and Outlook.
  • Excellent attention to detail, organizational, and communication skills.
  • Ability to work independently under minimal supervision and manage deadlines.
  • Bilingualism (French/English) considered a strong asset.
  • Willingness to work overtime during peak billing periods (month-end/year-end).
