Job summary

Chartwell Retirement Residences in Mississauga is seeking an experienced Payroll Specialist to process complex biweekly payrolls for salaried and hourly staff across multiple provinces. You will act as a payroll resource for residences and internal departments, ensuring compliance with policies and audit requirements.

The role requires 3+ years Canadian payroll experience, with Fusion HCM and ADP/PCPW familiarity, strong Excel skills, and bilingual English and French.

Qualifications

• CPA Certification (PCP) or in progress required or in progress.
• Minimum 3 years of payroll experience with solid Canadian payroll knowledge if education is not met.
• Experience with Fusion HCM (or other cloud payroll system) and ADP/PCPW is an asset.

Responsibilities

• Process the full cycle of biweekly payrolls for salary and hourly employees across multi-province in both union and non-union environments.
• Respond to inquiries from internal departments and site management regarding payroll matters promptly and courteously.
• Review union contracts to ensure accurate payroll calculations and compliance with agreements and legislation.
• Process payments to third parties (garnishments, union dues, RRSP and pension) in line with regulations and policies.
• Ensure monthly and year-end regulatory filings are completed on time and internal controls are followed.

Job description

The incumbent is responsible for effectively and accurately processing complex biweekly payrolls in a high-volume payroll department. The incumbent will act as a resource to our residences and internal departments for payroll matters and ensures that the payroll policies and procedures are being followed and comply with internal and external audit requirements.

Key Activities

• Processing the full cycle of multi-province, biweekly payrolls for salary and hourly employees in both union and non-union environments in an accurate and timely manner
• Administer various payments such as but not limited to sick pay, retro pays, vacation pays
• Respond to inquiries from internal departments and site management regarding payroll matters in a prompt, courteous and efficient manner
• Review and applies relevant multiple union contracts ensuring all calculations in the payroll are correct
• Process payments to third parties - garnishments, union dues, RRSP and pension payments ensuring that deductions are in accordance with provincial and federal legislations and according to union agreements and corporate policies
• Ensure that monthly and year end regulatory filings are completed on a timely basis
• Ensure that internal controls are complied with for all payroll processes
• Special projects as assigned and other duties as appropriate and required
• Other duties as assigned by the Supervisor

Regulatory Compliance:

• Conducts duties in accordance with Chartwell policies and procedures, as well as government regulations, laws and policies.
• Understands and follows all health and safety policies and procedures. Works safely to reduce the risk of injury to self and other staff members. Promptly reports all actual or potentially hazardous situations.
• Maintains confidentiality of staff members’ personal information.

Qualifications

Experience:

• If the Education requirement is not met, a minimum of 3 years of payroll experience with solid Canadian payroll knowledge
• Experience using Fusion HCM (or other cloud payroll system) and ADP/PCPW experience is an asset
• Payroll based accounting knowledge is an asset

Education:

• CPA Certification (PCP) or in progress

Skills & Abilities:

• Bilingual English and French
• A good understanding of union collective agreements
• Strong computer skills, specifically Microsoft Excel (eg. Knowledge of Pivot Tables and Vlookup)
