Job description

In-office opportunity in our North York, ON office

We are seeking an energetic and organized Bilingual Office Manager to oversee our office operations and ensure a smooth workflow. The ideal candidate will possess strong administrative skills and be proficient in both English and French. This role requires excellent communication abilities, attention to detail, and the capacity to manage multiple tasks efficiently.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Assist in the development of training for new hires and ongoing staff training initiatives.
  • Creation of policy and process manuals as required.
  • Answer and manage all incoming correspondence, including phone calls, emails, and mail, ensuring timely and professional responses.
  • Accurately input and maintain donor, client, and organizational data within Raiser's Edge to ensure records are current and reliable.
  • Recruit and supervise volunteers
  • Act as the first point of contact for stakeholders, providing exceptional bilingual support and ensuring queries are directed to the appropriate team members.
  • Maintain accurate records of technology based inventory, including physical and digital tracking.
  • Work with IT and cyber security provider and troubleshoot as required.
  • Generate reports, summaries, and data insights from Raiser's Edge and fundraising systems to support organizational planning and decision-making.
  • Maintain physical and electronic filing systems for efficient document retrieval and organization.

Qualifications

  • Proficiency in both English and French is required.
  • Previous experience in an office management or administrative role is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Familiarity with Raisers Edge and Microsoft Office
  • Excellent communication skills, both written and verbal, are essential.
  • Ability to work collaboratively within a team environment while also being self-motivated.
