Job summary

GFL Environmental Services Inc. is seeking an RFP and Proposal Coordinator to lead end-to-end bid management across the Atlantic Region. You will support Commercial, Operations, Finance, and Technical teams in producing compliant proposals and maintaining bid records.

The role involves monitoring procurement portals, drafting narratives, gathering pricing data, and ensuring timely submissions with adherence to branding and formatting standards.

Responsibilities

• Monitor procurement portals and channels for public and private RFPs, RFIs, and RFQs across the Atlantic Region.
• Review bid documents thoroughly to ensure strict compliance with municipal, regional, environmental, and safety requirements.
• Log and communicate critical tender deadlines, milestones, and deliverable schedules to project participants and cross-functional bidding teams.
• Coordinate the final assembly of submission packages, ensuring all required attachments (such as insurance certificates, bonding, and safety records) are included.
• Ensure all outgoing proposal materials strictly align with company branding and formatting standards, delivering all final bids prior to hard deadlines.
• Draft, review, and format narrative responses, technical content, proposal templates, custom tender materials, presentations, and quotations.
• Maintain and update standard proposal content libraries, bidding templates, and centralized document repositories.
• Track and manage post-award contract documentation, standard proposal content, and bid logs.
• Partner with District Managers, Operations Leads, Finance teams, and Technical specialists to gather accurate operational data, equipment counts, staffing models, and safety metrics.
• Assist in gathering multi-divisional pricing requirements and technical inputs for ongoing projects and day-to-day sales opportunities.
• Provide logistical and administrative support for sales, operations, and cross-divisional initiatives to support client deliverables.
• Maintain accurate, up-to-date customer records, bid tracking, and contractual data.
• Support day-to-day sales and administrative needs across the division as required.
