Job summary

NAIT’s Assessment Services team is hiring a coordinator to administer exams, coordinate accommodations, and support a high-standard of student service. The role involves collaboration across campuses, invigilation, and handling confidential data with care.

The successful candidate will bring strong organizational skills, attention to detail, and experience with PeopleSoft or similar student administration systems. A post-secondary diploma and 2+ years of relevant experience are preferred.

Qualifications

  • Post-secondary diploma required; preference for Business Administration or Office Management.
  • 2+ years of administrative experience in an academic or equivalent setting.
  • Experience in assessment or exam services is a plus.

Responsibilities

  • Coordinate and administer exam services and accommodations for students with disabilities, ensuring compliance with legislation and NAIT policies.
  • Schedule exams across multiple campuses and formats; maintain invigilator database.
  • Oversee exam integrity, security, and invigilation for assistive technologies.
  • Procure, produce, and maintain alternate format exams and materials per accessibility standards.
  • Serve as primary contact for Assessment Services inquiries and provide guidance to students, instructors and partners.
  • Coordinate on-campus, off-campus, and online course assessments with academic departments.
  • Maintain examination records in compliance with privacy laws; support audits and reporting.
  • Address conflicts with professionalism and provide timely resolutions to students and staff.
  • Handle confidential data and prepare reports for third-party and government stakeholders.
  • Support standardized testing processes and adapt to operational needs; engage in professional development.

Job Description

Reporting to the Assessment Services Coordinator, the successful candidate will collaborate across departments to coordinate assessment services and provide administrative and service support. This position requires a strong commitment to quality service delivery, effective communication skills, and a focus on student success. Based primarily at NAIT’s Main Campus, with additional support at the Patricia and Souch campuses, the role involves exam invigilation administration, responding to inquiries, and facilitating Assessment Centre operations. The ideal candidate will be detail-oriented, self-motivated, and an excellent team player, with well-developed communication skills and a passion for delivering exceptional service and administrative support. Key Responsibilities
  • Coordinate and administer exam services and accommodations for students with disabilities, ensuring compliance with relevant legislation and NAIT policies and procedures.
  • Manage the scheduling and administration of exams across multiple campuses and formats, maintaining an up-to-date database of invigilators.
  • Oversee exam integrity, security, and adherence to procedures, including invigilation and technical support for assistive technologies.
  • Facilitate the acquisition, production, and maintenance of alternate format exams and course materials in accordance with accessibility standards.
  • Act as a primary contact for inquiries related to Assessment Services, offering guidance to students, instructors, and external partners on schedules, policies, and procedures.
  • Collaborate with academic departments to coordinate and schedule on-campus, off-campus, and online course assessments.
  • Maintain accurate records of examination activities in compliance with privacy legislation, supporting institutional standards, reporting, audits, and regulatory requirements.
  • Address exam-related conflicts and concerns with professionalism and empathy, ensuring timely resolutions for students and staff.
  • Perform administrative tasks, including managing confidential data, maintaining files, requisitioning resources, and preparing reports for third-party and government stakeholders.
  • Support standardized testing processes, ensuring compliance with institutional and external standards.
  • Engage in professional development and perform additional responsibilities as required by operational needs.
Skills & Abilities
  • Strong organizational skills with the ability to manage complex schedules, maintain accurate records, and coordinate multiple tasks across campuses and partners.
  • Attention to detail ensuring accuracy in exam delivery, documentation, and compliance with institutional policies and accessibility standards.
  • Technical proficiency with knowledge and skills with databases, learning management systems, and student administration systems such as PeopleSoft.
  • Skilled in using assistive technologies (e.g. text-to-speech), exam invigilation software, and general office software to support assessment services.
  • Problem-solving and critical thinking with the ability to resolve exam-related conflicts, troubleshoot technical issues, and resolve student and staff concerns effectively.
  • Strong interpersonal and communication skills to deliver clear, empathetic, and professional communication to students, staff, and external partners.
  • Demonstrate professional integrity and discretion in handling confidential student information and adhering to FOIP standards and Assessment Services procedures.
  • Good understanding of learning challenges encountered by students and the Alberta Human Rights legislation and Duty to Accommodate.
  • Work effectively in a dynamic academic environment, collaborating with diverse NAIT departments, students, staff, and external partners.
Qualifications
  • Minimum post‑secondary diploma, preferably in Business Administration or Office Management.
  • 2+ years of related experience in an administrative capacity.
  • Preference is given for experience in a post‑secondary environment, specifically within assessment or exam services.
  • Equivalencies may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration

Refer to salary range noted on this posting, plus a comprehensive benefits package. This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.

The compensation range for this job posting is : $52,731.69 - $68,242.40
