Job Description
We currently have an opening for an Administrative Assistant in our Vancouver office.
Responsibilities will include:
• Timely and proper delivery of various engineering documents, including correspondence, records of meetings, technical memoranda, discussion papers, contract documents and technical specifications, reports, and proposals.
• Assembling and transmitting documents and correspondence internally and externally to staff and clients in various formats.
• Management of records and maintaining confidentiality in accordance with departmental and corporate requirements.
• Updating resumes and team calendars.
• Coordinating meetings, travel, lunch and learns and social gatherings as required.
• Assist with planning team building and other social gathering.
• Prioritizing urgent tasks over less pressing tasks to manage last minute requests and deadlines.
• Provide guidance and mentorship to other administrative staff in the operation.
Job Requirements
• Diploma or undergraduate degree in Office Administration an asset.
• 5+ years experience providing administrative support, preferably in an engineering or architectural or other professional services environment.
• Proficient in MS Office, including word processing (Word), spreadsheets (Excel), presentations (Power Point), collaboration (Teams).
• Website maintenance (SharePoint) and database management skills are an asset.
• Knowledge of PDF-Xchange or Adobe Acrobat is an asset.
• Experience in InDesign is an asset.
• Able to work in a fast-paced office environment and remain calm in stressful situations.
• Superior organizational and time management skills; strong attention to detail.
• Superior interpersonal skills and a strong team player.
• Strong oral and written communication skills and technical writing skills.
• Available to work overtime as required or requested, occasionally at short notice.
