Job description

Reporting to the Control Centre Manager, the Administrative Assistant is part of a team involved in pre- and post-construction activities. This multifaceted role includes data collection for subcontracting activities to ensure timely and efficient construction start, as well as data entry support for post-construction tasks. Emphasis is also placed on payroll functions and database maintenance.

This is a Hybrid-Remote work opportunity based out of our office on Easy Street in Port Perry.

YOU WILL HAVE THE OPPORTUNITY TO:

  • Create and issue vendor purchase orders for daily construction activities
  • Reconcile packing slip receipts with purchase orders in Microsoft D365
  • Scan and electronically save packing slips in Microsoft D365
  • Receive vendor invoices, verify PO numbers and packing slips, and send them to head office for processing
  • Manage payroll submissions and database upkeep
  • Schedule training sessions
  • Communicate daily with the infrastructure team and vendors
  • Ensure timely issuance of reports as required by management
  • Perform data entry to support business units
  • Maintain financial records by processing billing documents
  • Perform other duties as assigned to meet company objectives

THIS ROLE IS FOR YOU IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:

  • 1-3 years of administrative experience, preferably in construction
  • Strong written and verbal communication skills
  • Attention to detail and a willingness to learn
  • Excellent time management and organizational skills
  • Proficiency in Microsoft Office, especially Excel
  • Ability to work under pressure in high-volume, tight-deadline environments
