Qualifications

  • 1-3 years of administrative experience, preferably in construction.
  • Strong written and verbal communication skills are essential.
  • Proficiency in Microsoft Office, especially Excel.

Reporting to the Control Centre Manager, the Administrative Assistant is part of a team involved in pre- and post-construction activities. This multifaceted role involves data collection for subcontracting activities to ensure timely and efficient construction start, data entry support for post-construction activities, and a focus on payroll functions and database maintenance.

This is a Hybrid-Remote work opportunity based out of our office on Easy Street in Port Perry.

Responsibilities
  • Create and issue vendor purchase orders for daily construction activities
  • Reconcile packing slip receipts with purchase orders in Microsoft D365
  • Scan and save packing slips electronically in Microsoft D365
  • Receive all vendor invoices, verify PO numbers, receipt of packing slips, and send to head office for processing
  • Manage payroll submissions and upkeep
  • Troubleshoot vendor invoice discrepancies as needed
  • Schedule training sessions
  • Communicate daily with infrastructure team and vendors
  • Ensure timely issuance of reports as required by management
  • Perform data entry for business unit support
  • Maintain financial records by processing billing documents
  • Perform other duties as assigned to meet company objectives
Qualifications and Qualities
  • 1-3 years of administrative experience, preferably in construction
  • Strong written and verbal communication skills
  • Attention to detail and eagerness to learn
  • Excellent time management and organizational skills
  • Proficiency in Microsoft Office, especially Excel
  • Ability to work under pressure in high-volume, tight-timeline environments
