Scope of the Position

The position is responsible for providing support front-desk reception, purchasing coordination, vendor management, and general administrative duties. The candidate will ensure efficient office operations, accurate procurement tracking, and smooth communication across teams.

Major Responsibilities
  • Serve as the primary point of contact for clients, vendors, and internal staff, ensuring a courteous and professional front-desk experience
  • Manage incoming calls, emails, mail, and courier deliveries with accuracy
  • Maintain a clean, organized, and welcoming reception area that reflects company standards
  • Coordinate office supply procurement and monitor inventory to support daily operations
  • Assist the Operations Manager with processing material orders and tracking deliveries
  • Request, evaluate, and document vendor quotations for electrical components and equipment
  • Maintain and update vendor profiles, including contact details, pricing, and compliance records
  • Generate and process purchase orders; reconcile invoices and ensure timely payment tracking
  • File and organize purchasing and administrative documentation in accordance with company protocols
  • Assist in conducting routine warehouse inspections and report health and safety observations
  • Maintain and update the Health & Safety board with current policies, certifications, and notices
  • Perform data entry for safety records, incident logs, and compliance documentation
  • Support internal audits and assist with health and safety reporting requirement
