Responsibilities

  • Coordinate the intake of quote requests from Sales and other internal stakeholders.
  • Review incoming requests for completeness and accuracy; follow up to obtain missing information.
  • Assign, log, and track quote requests to ensure timely progression through the quoting process.
  • Maintain quote trackers and logs, monitoring status, priorities, and deadlines.
  • Proactively follow up with Quoting Specialists, Sales, and other contributors to ensure quotes are completed on time.
  • Identify delays, bottlenecks, or conflicting priorities and escalate as appropriate.
  • Prepare, organize, and maintain quote documentation.
  • Act as a central point of contact between Sales, Quotes, Projects, and external vendors regarding quote-related administration.
  • Prepare and distribute quote requests, confirmations, and supporting documentation.
  • Coordinate responses to revisions, clarifications, and follow-up requests.

Scope of Position

The Operations Coordinator – Quotes provides administrative and coordination support to the Quotes team, ensuring quotation activities are organized, logged and completed within required timelines. This role serves as a central coordination point between Sales, Quoting Specialists in multiple branches, supporting the intake, tracking and documentation of customer requests for quotations.

Key Responsibilities
Quote Coordination & Intake
  • Coordinate the intake of quote requests from Sales and other internal stakeholders
  • Review incoming requests for completeness and accuracy; follow up to obtain missing information
  • Assign, log, and track quote requests to ensure timely progression through the quoting process
  • Maintain quote trackers and logs, monitoring status, priorities, and deadlines
  • Proactively follow up with Quoting Specialists, Sales, and other contributors to ensure quotes are completed on time

Qualifications & Experience
  • 1–2 years of experience in an administrative, coordination, or operations support role
  • Experience supporting quoting, estimating, or sales operations is an asset
  • Strong organizational and time-management skills with the ability to manage multiple concurrent requests
  • High attention to detail and strong follow-through
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office (Outlook, Word, Excel); experience with CRM or quoting systems is an asset
