Reporting to the Senior Program Officer (SPO) for Medicine, the incumbent will function as the central point of contact for the SPO’s office. This position will be responsible for managing the schedule and overseeing the logistics of the SPO’s office, collaborating with program management on key projects, and supporting day-to-day administrative and operational problem-solving across the portfolio. The position also plays a valuable role in ensuring that all administrative processes and practices within the portfolio are optimized in order to improve efficiency. The Administrative Assistant will further provide support to Facility Chiefs within the associated SPO’s portfolio. Assignments and tasks will be directly related to only those responsibilities within the Facility Chief role. The position will hold delegated signing authority and perform a full range of administrative support functions including but not limited to: reconciling and analyzing portfolio expenditures; preparing business documents and spreadsheets; creating correspondence and memorandums; anticipating needs and assisting with the recruitment process; scheduling and coordinating meetings, interviews and special events as well as coordinating travel arrangements and itineraries; preparing expense claims; and overseeing office supplies and equipment. Organization of large quantities of documents and data files on projects will be maintained by this position. This position is responsible for the managing and orientation of administrative staff within the SPO’s portfolio.

Required Qualifications:
Must have a related post-secondary certificate or an equivalent combination of education and experience. Must have at least two years directly related experience at a senior administrative support level. Must be proficient using MS Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams).

Must be capable of working in a busy office environment and managing multiple priorities while retaining large amounts of information relating to the portfolio. Must display a positive, professional demeanor at all times, and have excellent interpersonal skills. Must be capable of coordinating and organizing special events and meetings. Must be able to capture meeting deliberations concisely and accurately through minute taking. Demonstrated ability to effectively work independently as well as within a multidisciplinary team. Critical thinking skills with the ability to evaluate and problem solve. Concise communication skills to provide and receive information effectively. Effective time management skills to be able to deliver assigned tasks promptly. Excellent computer skills with an understanding of basic office applications including MS Office, MS Teams, and Zoom. Working knowledge of SharePoint, Connect Care, E-facilities, ESP, IT Service Portal, e-People, RMS, Oracle systems (i-Expense, Markview, i-procurement).
