JOB SUMMARY

This temporary full-time position will end on or before October 5, 2027

We're looking for an organized and customer-focused Administrative Assistant to support our Licensing team in delivering efficient, professional, and responsive services across multiple licensing streams.

This is an exciting opportunity for an administrative professional who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in keeping processes running smoothly. You'll play a key role in supporting a diverse group of professionals while contributing to the success of important regulatory programs that impact communities across Alberta.

As a valued member of the Licensing team, you will provide administrative support across several functional areas, helping ensure seamless operations and exceptional internal and external service. Your responsibilities will include:

  • Preparing, formatting, and distributing correspondence, reports, and other business documents
  • Supporting licensing processes through administrative coordination and record maintenance
  • Managing office supplies, procurement card reconciliations, and inventory tracking
  • Coordinating meetings, travel arrangements, catering, and meeting logistics
  • Maintaining website and SharePoint content and updating forms and documentation
  • Supporting payroll and administrative inquiries from staff
  • Processing approvals, tracking information, and maintaining accurate records in various business systems
  • Responding to inquiries and directing requests to the appropriate contacts
SKILLS & ABILITIES
  • High school diploma, combined with a minimum of two years of administrative support experience, preferably within a regulated, public sector, or similarly complex environment.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams) and Adobe Acrobat or related document management applications.
  • Strong written and verbal communication skills, with the ability to communicate effectively and professionally with diverse audiences.
  • Well-developed organizational, time management, and prioritization skills, with the ability to manage multiple competing priorities and meet deadlines.
  • Demonstrated ability to work independently, maintain confidentiality, and exercise sound judgment and discretion in a professional environment.
  • Strong interpersonal and relationship-building skills, with a collaborative and service-oriented approach to supporting clients, colleagues, and stakeholders.
  • Proven attention to detail and commitment to delivering accurate, high-quality work in a fast-paced environment.
  • Ability to adapt to changing priorities, processes, and organizational needs while maintaining a high standard of administrative support.
  • Assets include:

  • Experience working with enterprise resource planning (ERP) systems, databases, records management systems, or other enterprise applications.
