Job summary

Englobe is seeking an Administrative Assistant to join our Dartmouth office, supporting Human Resources and daily operations. You will manage onboarding, document processing, and front-desk tasks, while ensuring accurate filing and excellent service to visitors and staff.

You will collaborate with IT and building services, coordinate travel, organize events, and uphold health and safety standards. A relevant diploma and 3+ years of admin experience are preferred, with bilingual ability a plus.

Qualifications

• Post-Secondary degree or diploma in Office Administration, Business Administration is an asset.
• Minimum of 3-year experience in an administrative role in an office environment required.
• Experience working in a Consulting, Engineering, or Science firm would be an asset.
• Experience working with NMS specifications would be an asset.
• Exceptional written and oral English communication skills.
• Proficient with the use of Microsoft Office features (Word, Excel, PowerPoint, Outlook).
• Strong problem-solving skills; Excellent organizational skills; ability to meet tight deadlines and multi-task.
• Demonstrated sensitivity and consideration for occupational health and safety.
• Bilingual would be an asset.

Your main responsibilities

• Apply and promote Englobe's health and safety rules;
• Answering and directing phone calls;
• Serve as the primary point of contact for visitors, clients, and vendors;
• Coordinate the administration of certain corporate programs under the direction of Human Resources including onboarding and integration;
• Prepare, format, proofread, scan, print, bind, and distribute documents and reports;
• Maintain electronic and physical filing systems and records;
• Assist with data entry, tracking logs, and document management systems;
• Direct and problem solve inquiries from staff;
• General site administration tasks including coordinating building maintenance, ordering office supplies and maintaining local vendors list;
• Coordination of social events and staff luncheons;
• Ordering employee clothing and promotional items for trade shows and conferences;
• Shipping and receiving of couriers and mail;
• Maintaining a clean/tidy kitchen & printer room;
• Working with IT to order equipment & assist staff with day-to-day requests;
• Travel arrangements;
• Assist with special projects and other administrative duties as assigned.

• Post-Secondary degree or diploma in Office Administration, Business Administration is an asset;
• Driver's license required to do local office errands as required;
• Minimum of 3-year experience in an administrative role in an office environment required;
• Experience working in a similar capacity in a Consulting, Engineering, or Science firm would be an asset;
• Experience working with NMS specifications would be an asset;
• Exceptional written and oral English communication skills;
• Proficient with the use of Microsoft Office program features specifically, Word, Excel, PowerPoint and Outlook;
• Strong problem-solving skills;
• Excellent organizational skills, ability to implement and maintain systems of organization;
• Ability to meet tight deadlines, prioritize; multi-task and thrive in a fast-paced environment;
• Demonstrated sensitivity and consideration for occupational health and safety;
