Job summary

As the first point of contact, Administrative Assistant plays a valuable role and is responsible for ensuring exceptional service in the Front Desk through greeting residents, staff, visitors and as well as providing general administrative support.

Responsibilities

  • Provide a friendly and approachable image as the first point of contact
  • Maintain a welcoming environment for residents, staff, and visitors
  • Ability to build relationships with residents, staff, and visitors while using compassion when dealing with difficult situations
  • Manage incoming calls and transfer to appropriate individual
  • Maintaining resident services and identify areas for improvements
  • Respond to resident inquiries promptly
  • Assist with coordination of move ins
  • Operate and maintain office equipment
  • Event Poster creation
  • General administrative support; documentation, minutes, mail/courier, office supply inventory, completion of reference check documentation
  • Arrange tours of the building for families
  • Support staff meetings/family council meetings
  • Other duties as assigned to support operational requirements and other departments

Qualifications and Experience

  • One (1) year experience as a Administrative Assistant or similar role is preferred
  • Completion of post-secondary administration program is an asset
  • Experience in a residential care setting is an asset
  • Demonstrated excellent client service skills
  • Superior interpersonal skills to interact with residents, staff and visitors
  • Strong computer literacy including effective working skills with Microsoft Suite, Canva and related office software
  • Excellent written and oral communication skills, demonstrating strong attention to detail and accuracy
  • Strong sense of ethics and the ability to handle sensitive information with tact and discretion
  • Exceptional organizational skills with the ability to handle multiple tasks and priorities
  • Strong problem solving and analytical skills
  • Ability to work independently and in a team setting
  • Experience working in a fast-paced environment
