Job summary

NHSGGC in Glasgow is seeking an Admin Assistant for Paediatric Audiology based at the Royal Hospital for Children on the QEUH site. The role is part-time, 27.5 hours per week, Monday to Friday, 8am–5pm, with some flexibility for annual leave coverage.

You will handle telephone enquiries, appointments, patient database input, and distribution of reports and clinic letters. Essential skills include good communication, MS Office proficiency, and experience in direct contact with the public.

Job description

The Role

The post of Admin Assistant for Paediatric Audiology is based at Royal Hospital for Children in Glasgow on the QEUH site and is part-time for 27.5 hours a week.

It is essential that the post holder be a well-spoken, good listener, good communicator, be computer literate (Various patient databases used where training will be provided and be familiar with MS office), and have worked in a direct contact role with the public before.

The role will include dealing with telephone enquiries, making and changing appointments, scanning, entering details onto patient database, distributing reports and clinic letters, and posting batteries and hearing aid supplies to patients.

The hours worked will be Monday to Friday between the hours of 8am and 5pm. (The days and hours can be discussed at interview) There will be some flexibility required to help the service cover annual leave.

Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.

All other roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern
  • Location based in Queen Elizabeth University Hospital / Office Block
  • Part-time position (27.5 hours per week)
  • Shift pattern for this post are Monday to Friday
  • Permanent Contract

Please note the salary is Pro Rata for part time hours.

Key Responsibilities
  • Provide high quality administrative support. This will include patient database entry, dealing with telephone enquiries, making and changing appointments, distributing reports and letters.
  • Data quality and crosschecking of systems for Newborn Hearing Screening using spreadsheets, Child Health database and Scottish Birth Record
  • Maintaining an up to date filing system for all patient reports, letters and general correspondence and ensuring electronic patient case records filing is up to date.
  • Providing support for meetings, both internal and external, taking minutes/meeting notes
  • The provision of administrative and secretarial support to the other areas of the department to meet the developing service needs. This may include providing support to other areas outwith the postholder's own particular area.
