Responsibilities

• Manage customer accounts receivable and maintain accurate balances.
• Handle delinquent accounts and prioritize aging balances.
• Post and apply payments (EFTs, cheques, cards).
• Communicate with customers to resolve disputes and arrange payments.
• Support month-end AR reporting and reconciliation.

We're looking for an Accounts Receivable Associate to join our Finance team in Dartmouth, Nova Scotia.

What You'll Do

• Manage customer accounts receivable and maintain accurate account balances.
• Manage a portfolio of delinquent and overdue accounts, prioritizing high-value and aging balances.
• Make outbound calls and send emails to customers to follow up on outstanding payments.
• Handle customer objections, payment delays, and account concerns professionally.
• Negotiate payment arrangements and consistently follow up on customer payment commitments.
• Post and apply customer payments, including EFTs, cheques, credit cards, and other receipts.
• Reconcile customer accounts and resolve payment discrepancies, short payments, unapplied cash, and disputes.
• Maintain accurate records of customer communications, collection activities, payment commitments, and next steps.
• Work toward daily and weekly collections targets and KPIs while supporting month-end accounts receivable reporting and reconciliation.

What You'll Bring

• Grade 12 diploma or equivalent is required
• Previous accounts receivable experience, along with a background in an office role - ideally within a finance or accounting environment
• Demonstrated accuracy and commitment to data integrity, with strong attention to detail across all tasks
• Proficiency with ERP systems and the Microsoft Office Suite; comfort navigating financial software and adapting to new platforms
• Strong analytical and troubleshooting skills, with the ability to identify discrepancies and resolve them efficiently
• Excellent organizational and time management skills, with the ability to prioritize competing demands and meet deadlines in a fast-paced environment
• Strong written and verbal English communication skills, with the ability to communicate professionally and effectively with customers regarding outstanding balances, payment arrangements, and account inquiries
• Customer service mindset - professional, reliable, and responsive in all interactions
• High degree of discretion and confidentiality in handling sensitive financial information
• Legally entitled to work in Canada

Nice to have

• Completion of general office administration courses at the college level
• Familiarity with Prophet 21 (P21) or similar distribution ERP systems
• A well-rounded understanding of the full accounting cycle - not just the accounts receivable function - which will help you contribute more broadly and grow faster within the role
