Mosaic Community Services is seeking an Accounts Payable Specialist to join our Vancouver team. You’ll own the full invoice cycle, verify against contracts and POs, and ensure timely payments across projects and units.

With 3+ years in AP, you’ll excel in data entry, MS Office, and collaborating with construction and real estate partners. Sage 300 experience is a plus as you help improve AP processes and accuracy.

Are you a detail-driven accounts payable professional who takes pride in getting it right the first time? Mosaic is looking for an Accounts Payable Specialist to join our team. You’ll keep payments accurate and on time across our projects and companies, partner closely with our construction and closing teams, and help strengthen the processes that keep our business running smoothly.

Here’s a snapshot of what you’ll do:

• Own the full invoice cycle for your assigned projects and companies – sorting and distributing incoming invoices, verifying them against contracts, purchase orders, quotes and unit rate agreements, and entering them.
• Run mid-month and month-end cheque runs and releases, and process rush cheque requisitions, utilities invoices and credit card payments.
• Reconcile credit card statements and process and verify coding.
• Partner with Construction Coordinators on commitments, fee proposals, change orders and the timely release of construction holdbacks.
• Set up vendors, verify GST and WorkSafe clearance, and resolve billing discrepancies and outstanding invoices with vendors, realtors and other partners.
• Track monthly metrics, maintain the AP filing system, and recommend improvements to AP policies and procedures.

Who You Are

You have 3+ years’ experience working in an Accounts Payable position, ideally within the construction, property management, or real estate industry.

You have strong English verbal and written communications skills. You are organized, detail oriented, and work through problems methodically to independently resolve them.

You have strong data entry skills, and are proficient in MS office (Word, Excel, Outlook). Bonus points if you have experience with Sage 300 and Sage Paperless Construction, or other real estate accounting software.

Finally, you’re a team player who brings out the best in others. You are proactive and positively engage in building a great culture at work.
