Job summary

OPENLANE in Alberta is seeking an Account Coordinator to support fleet and rental accounts, manage the redemption process for repo units, and coordinate administrative tasks with sales and accounting teams. You will help deliver a positive customer experience and gain exposure to sales activities within a growing national fleet program.

You are organized, patient, and team‑oriented, with strong communication skills and proficiency in Google Suite.

Qualifications

  • 1-2 years of related experience or education in account coordination.
  • Tech-savvy and comfortable using Google Suite.
  • Strong customer service and communication skills.
  • Excellent organizational and time management skills.

Responsibilities

  • Coordinate inventory and sale of local commercial and fleet vehicles by entering data, removing vehicles from leasing, and transmitting data to customer systems.
  • Ensure sales vehicles meet specifications by obtaining condition reports and preparing work orders.
  • Negotiate sale of pending bids per customer service SLAs.
  • Assist with transportation logistics and billing.
  • Generate reports from inventory and sales data.

You will work as part of our close-knit administrative team, and will be responsible for coordinating fleet & rental accounts. You will also support the redemption process for repo units, including liaison with the national accounts team and local customers to support the vehicle and personal property redemption process. In this role, you will have the opportunity to drive a positive customer experience, coordinate the administrative tasks with your accounts, and have an opportunity to gain sales experience as we seek to grow our local fleet accounts.**You Are:*** **Organized.** You will manage a range of accounts, ensuring customer SLA’s are consistently met and manage communication flow.* **Team Oriented.** You will partner with our other team members, including sales, administration, and accounting to maintain and grow our account portfolio.* **Patient.** You will interact with those that have had a vehicle repossessed, and will help them navigate the redemption process with patience.**You Will:*** Coordinate the inventory and sale of local commercial and fleet vehicles by: entering data into the system, taking vehicles out of leasing, transmitting data to customers computer systems, selecting vehicles to be featured on the internet, generating sales agreements and determining vehicle line ups* Ensure sales vehicles meet specifications by: receiving condition reports, assessing and obtaining authorization for repairs and preparing necessary work order forms* Negotiating sale of pending bids as per customer service level agreements* Assisting with transportation logistic requests and billing* Generates/prepares reports by gathering data from computerized systems (i.e. inventory reports and sales summary)* Coordinate the vehicle redemption process in accordance with customer and company requirements* Supporting related customer service requirements; which may include answering calls, greeting walk in customers, taking payments, and processing requests* Ensuring customer satisfaction by communicating with clients; identifying & resolving issues in a timely manner* Manually or electronically entering new data in an accurate and timely manner, including vehicle information, registrations and other documents* May be required to process cheques, file sales transactions, balance & transmit sale reports & EFT wire transfers to other systems* Support other administrative tasks, including sale day functions, as required* Other duties as assigned**Must Haves:*** 1-2 Years’ of related experience or education in account coordination* Tech-savvy, and comfortable using Google Suite* Strong customer service and communication skills* Excellent organizational and time management skills**Nice to Haves:*** Prior experience in account management / business development* Prior experience within the automotive remarketing industry* Experience with AMS, VTrace, and other OPENLANE systems**Sound like a match?
