Job summary

NSCC is seeking an Administrative Assistant (CLA3) to provide confidential support to the Dean and the Office of the Dean, School of Health and Human Services. You will manage calendars, coordinate meetings and minutes, and handle expense claims with discretion.

You will work in a fast-paced academic environment, using SharePoint, MS Teams, Excel, and Outlook to support students and staff, with a commitment to excellence and lifelong learning.

Qualifications

  • Minimum educational qualification: post-secondary credential in Business or Administrative Professional program, or high school with significant admin experience.
  • At least three years of recent, related admin experience in a fast-paced office.
  • Familiar with Microsoft Office, Email, SharePoint, MS Teams, and Acrobat.
  • PM certification and experience would be an asset.
  • Experience processing and tracking DPOs would be an asset.
  • Comfortable in a digital environment and leveraging technology to enhance student experience.

Responsibilities

  • Provide confidential administrative support to the Dean and the Office on sensitive matters.
  • Manage calendars, schedules, and appointments, balancing priorities and deadlines.
  • Coordinate meetings and related logistics; prepare agendas and minutes; follow up.
  • Organize and track information to support effective communication and decision-making.
  • Serve as a key contact for the School, delivering professional service to faculty, staff and students.
  • Oversee processing and tracking of expense claims and invoices.
  • Maintain accurate filing systems, digital and hard-copy.

Salary range: $59,405.17 to $69,888.44 annually

Although this position reports centrally into the IT campus, the Cumberland Campus may also be considered as an alternate work location, subject to space availability and operational requirements.

Qualifications
Qualifications and Occupational Experience:
  • The minimum educational qualification for this position is a post-secondary credential from a Business or Administrative Professional program. High school completion with significant years of administrative experience will also be considered.
  • You have a minimum of three (3) years (full-time equivalent) of recent and related occupational experience in general office administration and/or Administrative Assistant experience. You have specific experience in managing the administration of a fast-paced office.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, E-mail, SharePoint, MS Teams, and Acrobat.
  • Project Management Professional certification and experience would be considered an asset.
  • Experience processing and tracking DPOs would be considered an asset.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology to create an exceptional student experience.

Responsibilities

What you will be doing...

As the Administrative Assistant, you will have overall responsibility for the day-to-day administrative functions of the Office of the Dean, School of Health and Human Services. You will:

  • Provide confidential administrative support to the Dean and Office on a range of sensitive and organizational matters.
  • Manage calendars, schedules, and appointments, balancing competing priorities and deadlines.
  • Coordinate meetings and related logistics,
  • Prepare and distribute meeting agendas, materials, and minutes, and coordinate follow-up activities.
  • Coordinate, organize, and track information to support effective communication, decision-making, and follow-up.
  • Serve as a key point of contact for the School, providing responsive and professional service to faculty, staff, students, and other clients.
  • Oversee the processing and tracking of expense claims and invoices.
  • Maintain accurate and well-organized electronic and hard-copy filing systems.

You are versatile, flexible and experienced in supporting administrative activities. This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within their scope of authority. You will be an integral contact person providing quality service to clients of the School of Health and Human Services.
