Job summary

Nova Scotia Community College in Halifax is seeking an experienced Administrative Assistant (CLA3) to provide confidential support to the Dean and the Office, manage calendars, meetings, and communications, and coordinate logistics for the School of Health and Human Services.

The role requires a post-secondary credential in a Business or Administrative Program, at least three years of related experience, and strong Microsoft Office/SharePoint/Outlook skills.

Qualifications

  • Post-secondary credential in a Business or Administrative Professional program or equivalent.
  • Minimum three years of related administrative office experience.
  • Experience with Microsoft Office, SharePoint, MS Teams and Acrobat.
  • Project Management certification is an asset.

Responsibilities

What you will be doing…

  • Provide confidential administrative support to the Dean and Office on a range of sensitive and organizational matters.
  • Manage calendars, schedules, and appointments, balancing competing priorities and deadlines.
  • Coordinate meetings and related logistics,
  • Prepare and distribute meeting agendas, materials, and minutes, and coordinate follow-up activities.
  • Coordinate, organize, and track information to support effective communication, decision-making, and follow-up.
  • Serve as a key point of contact for the School, providing responsive and professional service to faculty, staff, students, and other clients.
  • Oversee the processing and tracking of expense claims and invoices.
  • Maintain accurate and well-organized electronic and hard-copy filing systems.

You are versatile, flexible and experienced in supporting administrative activities. This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within their scope of authority. You will be an integral contact person providing quality service to clients of the School of Health and Human Services.

Qualifications and Occupational Experience
  • The minimum educational qualification for this position is a post-secondary credential from a Business or Administrative Professional program. High school completion with significant years of administrative experience will also be considered.
  • You have a minimum of three (3) years (full-time equivalent) of recent and related occupational experience in general office administration and/or Administrative Assistant experience. You have specific experience in managing the administration of a fast-paced office.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, E-mail, SharePoint, MS Teams, and Acrobat.
  • Project Management Professional certification and experience would be considered an asset.
  • Experience processing and tracking DPOs would be considered an asset.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology to create an exceptional student experience.
