You will work closely with the founder to oversee day-to-day operations, coordinate team members and external partners, improve business processes, and implement systems that support growth.
Key Responsibilities
Operations Management
- Oversee daily business operations and ensure tasks, projects, and deadlines are completed.
- Coordinate communication and follow-ups with borrowers, lenders, attorneys, title companies, and other business partners.
- Monitor loan transactions and assist in moving deals efficiently from initial evaluation through closing and servicing.
- Identify operational bottlenecks and implement effective solutions.
- Maintain organized records, documents, and business systems.
Team and Project Management
- Coordinate team members, contractors, and external service providers.
- Track assignments, deadlines, and deliverables.
- Establish accountability and ensure consistent execution.
- Lead regular operational meetings and provide progress updates.
- Assist with hiring, onboarding, and managing team members as the company grows.
Systems and Process Improvement
- Develop, document, and improve standard operating procedures (SOPs).
- Implement and manage project management tools, CRMs, and workflow systems.
- Identify opportunities to improve efficiency through automation and artificial intelligence.
- Create dashboards and key performance indicators (KPIs) to track operational performance.
- Build scalable systems that reduce administrative workload and improve productivity.
Business and Financial Administration
- Track business expenses, transactions, and operational reports.
- Coordinate with bookkeeping, accounting, and other professional service providers.
- Prepare reports and organize information to support management decisions.
- Assist with operational planning, budgeting, and strategic initiatives.
Required Qualifications
- Fluent English, both written and spoken.
- Strong organizational, analytical, and problem-solving skills.
- Previous experience in operations management, project management, business administration, or a similar role.
- Ability to independently manage multiple projects and priorities.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to accuracy.
- Proficiency with spreadsheets, cloud-based applications, and business productivity tools.
- Ability to work effectively with U.S.-based businesses and professionals.
- Comfortable working in a small, entrepreneurial company where responsibilities evolve.
- Must reside in Florianópolis or the surrounding metropolitan area.
Preferred Qualifications
- Previous experience working for a U.S.-based company.
- Experience in real estate, finance, lending, or investment operations.
- Familiarity with CRM systems and project management platforms such as ClickUp, Monday.com, Asana, or similar tools.
- Experience developing SOPs, managing KPIs, and improving operational workflows.
- Familiarity with AI tools, automation platforms, and process optimization.
- Experience managing remote teams or international business operations.
Direct experience in private lending is a plus but is not required. We value intelligence, initiative, strong organizational abilities, and a willingness to learn.
What We Offer
- Opportunity to work directly with the founder of a growing U.S. private lending business.
- Meaningful responsibility, autonomy, and influence over business operations.
- Exposure to U.S. real estate investments, financing, and entrepreneurship.
- Flexible, entrepreneurial work environment.
- Opportunities for professional development and advancement.
- Competitive compensation based on experience and qualifications.
- Long-term potential to grow with the company.
