Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Closing Manager based in Brazil.

As a Closing Manager, you will lead the real estate transaction function for a growing residential development operation. You will oversee transaction teams and ensure that every property sale and land conveyance is accurate, compliant, and completed on schedule. The role combines team leadership, title and escrow coordination, financial reporting, and administration of real estate management systems. Working closely with Sales, Marketing, Accounting, Purchasing, and executive leadership, you will help maintain efficient workflows across multiple residential communities. You will also identify opportunities to improve processes through technology and automation. This is a fully remote, full-time opportunity for an experienced real estate professional working during US business hours.

Accountabilities

You will take ownership of the transaction department's daily operations, ensuring that documentation, financial records, and closing procedures meet established standards. Your responsibilities will include:

  • Supervise, train, and manage Closing Coordinators and Transaction Assistants, ensuring accurate data entry, timely execution, and accountability across daily workflows.
  • Collect, review, and audit documentation for home sales and lot conveyances to ensure completeness and compliance with applicable state real estate requirements.
  • Audit and close out transaction files, balance records, and verify Final Settlement Statements before transferring completed files to Accounting.
  • Manage annual file archiving and maintain organized, standardized real estate record-keeping systems.
  • Coordinate with title and escrow companies on closing dates, earnest money, project statuses, land acquisitions, and lot takedown escrows.
  • Prepare final closing documentation for buyer signatures, verify closing statements, issue commission demands, and assist with notarization requirements.
  • Process change orders, price modifications, sales releases, and Addendum Change Order ratifications in Mark Systems or equivalent enterprise software on the same business day they are received.
  • Monitor new community launches and initial closings to ensure consistent operational procedures are established.
  • Track buyer sales incentives, maintain projected closing spreadsheets, and calculate quarterly agent bonuses.
  • Prepare and reconcile weekly, monthly, and ad-hoc closing reports for Operations and executive leadership.
  • Administer transaction databases and enterprise management software, identifying opportunities to automate workflows and reduce manual processes.
  • Support administrative activities involving building leases, HOA creation, CCR implementation, promissory notes, lot purchase agreements, and Notice of Completion recordings.

Requirements

The ideal candidate combines hands-on real estate transaction expertise with strong leadership, technical proficiency, and the ability to manage complex workflows. They should be comfortable coordinating with US-based stakeholders and maintaining high standards of accuracy and compliance. Required qualifications include:

  • At least 3 years of experience in real estate closing management, transaction coordination, escrow administration, or homebuilder sales operations.
  • Solid understanding of real estate filing requirements, title and escrow processes, settlement statements, and state compliance frameworks.
  • Strong technical proficiency with real estate enterprise software, such as Mark Systems or comparable builder and real estate ERP platforms.
  • Advanced spreadsheet skills and the ability to maintain accurate transaction databases and reports.
  • Proven ability to supervise, mentor, and hold transaction assistants and closing coordinators accountable in a fast-paced environment.
  • Excellent written and verbal English communication skills for working with executives, title officers, sales teams, and legal entities.
  • Strong analytical and problem‑solving abilities, including resolving transaction issues, auditing financial figures, and managing multiple projects.
  • Full availability Monday through Friday, from 8:00 AM to 5:00 PM US time.
  • A dedicated, quiet home office, personal computer, professional headset, and reliable high‑speed internet.
  • Ability to work remotely from Latin America.

Preferred qualifications:

  • Previous experience with residential homebuilders, land developers, or multi‑community real estate companies.
  • Hands‑on experience with Mark Systems or specialized construction and real estate sales platforms.
  • Active Notary Public license or willingness to obtain notary certification.
  • Knowledge of HOA setup, CCR documentation, and land acquisition escrow workflows.
Benefits
  • Monthly salary of $2,600 USD, paid directly in US dollars.
  • Fully remote, full‑time position from Latin America.
  • Direct leadership responsibility for closing operations and transaction software workflows.
  • Cross‑functional collaboration with Sales, Marketing, Accounting, Purchasing, and executive leadership.
  • Opportunity to influence operational processes, improve systems, and contribute to the efficiency of a growing real estate business.
