Job Description

Responsibilities
As a Project Support Officer, you provide administrative, coordinating, and follow‑up support to various project teams. You ensure smooth operations behind the scenes so that our engineers and project managers can focus on the technical aspects. Your responsibilities are divided into the following key areas:
- Document Control: Manage and structure project documentation according to internal standards or customer‑specific requirements; oversee version control and facilitate an efficient review and approval flow; ensure the accuracy and availability of up‑to‑date documents for the project teams.
- Procurement Administration: Prepare RFQs and bid comparisons and maintain contact with suppliers; support project managers with budget preparation and quotation requests; follow up on orders and resolve delivery‑related issues when they arise.
- Travel Coordination: Book business travel—flights, hotels, rental cars, and local transport; create detailed travel itineraries and assist with expense reporting.
- Transport & Dispatch Administration: Coordinate international project‑related transport between our Belgian headquarters and international sites (e.g. Thailand, USA, Spain); coordinate international project‑related transport between our Belgian headquarters and our (inter)national clients; ensure compliance with current customs legislation and proper documentation.
- Other Responsibilities: Requesting quotations for standard equipment; preparing order forms and follow‑up; developing templates and maintaining shared file servers; assisting with AS BUILT documentation; general project administration (timesheets, deadline follow‑up…).
Your Profile
- Bachelor’s or master’s degree in an administrative or communication‑related field.
- Fluent in Dutch and able to communicate professionally in English.
- Accurate, independent, and structured.
- Service‑minded, communicative, and team‑oriented.
- Able to prioritize, meet deadlines, and take initiative.
- Knowledge of digital tools such as SharePoint.
- Experience in document control in a technical or industrial environment is a plus.
- Familiarity with Aconex or other document management systems is a plus.
