ThoughtLabs Belgium seeks a proactive Project Manager to plan, coordinate, and implement training projects within budget, timeline, and scope, including GenAI-enabled initiatives for EEAS personnel.

The role requires monitoring progress, preparing management reports, and collaborating with stakeholders across HQ and delegations to ensure high-quality outcomes.

Qualifications

• Minimum 3 years of experience in project management.
• Experience designing and delivering training initiatives, including remote offices with online/e-learning components.
• Knowledge and experience with GenAI tools in learning and development, including content creation and evaluation.
• Proficiency with PM tools (e.g., Microsoft Project, Jira, Confluence, ServiceNow) and certification schemes (PMI, PRINCE2, PM²).
• Practical experience with reporting tools (e.g., Qlik Sense, Tableau) and ability to present projects effectively.

• Maintain a comprehensive repository of documentation accessible to relevant stakeholders.
• Track deviations in time, cost or resources and propose viable alternatives to management.
• Integrate GenAI tools and similar technologies in learning and development projects.

The ideal candidate will be responsible for planning, coordinating, and implementing projects within the decided-upon budget, timeline, and scope. They will also effectively monitor and present project updates to relevant stakeholders, clients, or project team members.

Responsibilities

• Management of training projects, including (but not only) the AI training program for EEAS personnel both in HQ and Delegations.
• Estimations on timing, cost and resources needed for future projects, including (but not only) the arrival of new tools (such as those related to AI) on which terms of reference need to be prepared for a correct deployment of training plans to EEAS personnel both in HQ and Delegations.
• Planning and preparation of training project plans and, following their approval, close monitoring and logging of their execution, with timely report to management.
• Contribute to Learning and Development Horizontal policies and briefings.
• Prepare Learning and Development metrics on the relevant training provided in the different programs and ad-hoc training offered to EEAS, EDP and EUDA participants.
• Maintain a comprehensive repository data (using Hive or equivalent tools) that can provide simple and fast access to those players which will need access to the relevant documentation, ensuring it is kept up to date by other team members.
• Have a forward-looking attitude by tracking (and if possible anticipating) potential deviations on time, cost or resources needed and propose viable alternatives to management.
• Integration of GenAI tools and similar technologies in learning and development projects, including online learning and e-learning.

Qualifications

• At least three years of experience in project management.
• Experience in designing and delivering training initiatives, particularly for remote offices, incorporating online and e-learning components.
• Knowledge and experience with GenAI tools and similar technologies in learning and development, including content creation, implementation, and evaluation of training programs, as well as online learning and e-learning.
• Strong proficiency in project management tools (e.g., Microsoft Project, Jira, Confluence, ServiceNow) and certification in PMI, PRINCE2, or PM².
• Practical experience with reporting tools (e.g., Qlik Sense, Tableau, or similar).
• Excellent communication skills, both oral and written, with experience in effectively presenting and promoting projects, combined with sound judgement.
• Reliable, proactive, and detail-oriented, with a strong sense of responsibility and commitment to delivering high-quality outcomes.
• Team player, strong self-management, organisational, and prioritization skills.
