EPSA is seeking a Purchasing & Project Support Specialist to join our Brussels-based team. You will handle administrative procurement tasks, maintain POs in SAP, and support SAP Ariba workflows, while coordinating with Berlin colleagues on cross-border projects.

You will assist the Project Manager, track progress, prepare demos, and develop user documentation. A strong SAP/MM background, excellent English, and French or Dutch are essential.

Qualifications

• Strong experience with SAP MM and Microsoft Office.
• Knowledge of SAP Ariba is considered a plus.
• Solid understanding of purchasing and procurement processes.
• Strong analytical, organizational, and problem-solving skills.
• Excellent stakeholder management and communication abilities.
• Proactive mindset with a continuous improvement approach.
• Ability to work independently while being a collaborative team player.
• Experience identifying process improvement opportunities and translating them into business cases with process owners.

Responsabilités

• Provide administrative support within the purchasing department.
• Ensure follow-up of purchasing processes and timely creation of purchase orders.
• Support stakeholders and suppliers regarding purchase orders in SAP and the Ariba Network.
• Create, modify, and manage purchase orders across different purchasing groups within SAP.
• Create and follow up on contracts in SAP.
• Manage and monitor functional mailboxes.
• Identify opportunities for process improvement and collaborate with operational excellence teams to optimize workflows.
• Assist the Project Manager with day-to-day coordination and follow-up of project activities.
• Monitor project progress, track action items, and ensure deadlines are respected.
• Prepare and conduct project demonstrations for stakeholders and end users.
• Develop, maintain, and support training materials and user documentation.
• Collaborate closely with colleagues based in Berlin to ensure smooth project execution and alignment.
• Act as a key point of contact for users and stakeholders, providing guidance and answering project-related questions.
• Draft and distribute project communications, including updates, announcements, reminders, and follow-ups.
