Siemens Healthineers/ Varian in Dilbeek, Belgium seeks an Administrative Coordinator to support hospitals by coordinating service requests and ensuring timely, professional handling. You will be the initial contact in Dutch and French, liaising with service engineers and internal teams to manage interventions, spare parts and on-site visits.

The role emphasizes accuracy, responsiveness and multi-tasking with up to 6:00 PM daily availability.

Qualifications

Post-secondary education (two years) or equivalent.
At least 5 years of professional experience in a similar administrative/coordination role.
Professionally proficient in Dutch, French and English, written and spoken.

Responsabilités

Handle incoming calls and requests from customers, hospitals, in Dutch- and French-speaking regions.
Coordinate service requests and urgent cases with service engineers and internal teams.
Record requests in appropriate systems accurately.
Assign or transfer requests to qualified service engineers.
Order spare parts needed for service requests.
Arrange on-site service visits when necessary.
Coordinate schedules and plan non-urgent interventions.
Ensure effective communication among customers, engineers and teams.
Perform general administrative duties to support the service organisation.
Manage internal communications in English and remain available beyond 6:00 p.m. when needed.
