Questel Belgium is seeking a Trade Mark Paralegal (Ghent or Brussels) to join the Trade Mark team. You will work closely with Trade Mark Consultants, managing client portfolios and providing high-level administrative support across a broad range of trade mark matters.

With 1–2 years of IP or legal administration experience, you will develop your knowledge of intellectual property, take ownership on files, handle correspondence with clients and international agents, and assist with invoicing,

• Experience in trade marks preferred
• Excellent command of English and Dutch; French helpful
• Highly organized and detail oriented
• Able to work independently with delegated responsibility
• Experience handling international communication

Responsabilités

• Managing trade mark portfolios and updating records in internal databases
• Overseeing portfolios, flagging risks, deadlines and next steps
• Preparing and filing trade mark applications, renewals and recordals
• Handling correspondence with clients, foreign agents and IP offices
• Drafting and providing documents for consultants (letters, instructions, undertakings)
• Supporting invoicing, reporting and portfolio reviews
• Drafting and responding to office actions as appropriate

As part of our continued growth and in anticipation of onboarding new clients, Novagraaf is looking to strengthen its Trade Mark team in Belgium (Ghent or Brussels) with a Trade Mark Paralegal.

In this role, you will work closely with Trade Mark Consultants to manage and develop client portfolios, providing high-level administrative and procedural support across a broad range of trade mark matters.

Depending on your level of experience, you'll receive full training and support to develop your knowledge and expertise in intellectual property and you will progressively take full ownership on files, correspondence with clients and international agents, allowing consultants to focus on strategic advisory work while relying on your growing expertise.

You will be responsible for:

• Managing trade mark portfolios and maintaining accurate, up‑to‑date records in internal databases
• Maintaining full oversight of portfolios and proactively flagging risks, deadlines and next steps
• Preparing and filing trade mark applications, renewals and recordals
• Preparing and handling correspondence, emails and instructions to and from clients and foreign agents and IP offices
• Preparing draft agreements and documents for consultants (e.g. procedural letters, instructions, standard undertakings)
• Supporting invoicing, reporting and portfolio reviews
• Drafting and responding to office actions, depending on experience and confidence level

The perfect match:

This role is well suited to candidates with one to two years of intellectual property or legal administration experience, ideally in trade marks. We also value experience gained in accounting, languages, or other fields that demonstrate the transferable skills essential to the role:

• Excellent command of the English & Dutch, both spoken and written. Knowledge of French of advantage.
• Highly organized, detail‑oriented and structured, with the ability to juggle multiple deadlines
• Self‑directed, proactive and comfortable working with delegated responsibility
• Proven ability to prepare correspondence and documents autonomously and with a minimum of supervision
• Confidence in handling international communication
