Job summary

Rugby World Cup Australia is seeking a Tournament Planning Coordinator to support the delivery of the Men’s Rugby World Cup 2027. Based in Sydney CBD, you’ll help plan, coordinate and readiness activities across MOC planning, functional areas and observer programs, ensuring teams and services are prepared for the event.

Qualifications

• 2 years experience in event, project, or operations coordination or a related role.
• Strong organisational, administrative and documentation skills with attention to detail.
• Excellent communication and stakeholder management across diverse teams.
• Advanced Microsoft Office capabilities (PowerPoint, Excel, Word, Outlook); experience with WeTrack, Domo or similar systems is advantageous.
• Proactive, adaptable and resilient in fast-paced environments.
• Experience supporting complex programs or major events is preferred and a customer-service mindset.
• Willingness to travel and work outside standard business hours during event periods.

Responsibilities

• Coordinate the Tournament Observer Program, managing participant logistics, communications, itineraries and stakeholder engagement.
• Coordinate the planning, readiness and delivery of key tournament operations, tracking milestones and deliverables.
• Support the Main Operations Centre (MOC) planning, logistics, facilities and access requirements.
• Partner with Functional Areas to develop and integrate tournament-time C3 plans and processes.
• Facilitate planning workshops, readiness exercises and stakeholder meetings for venues, cities and functions.
• Develop and maintain planning documentation, reports, and operational materials.
