We are seeking a reliable and detail-focused Warehouse Administration Officer to join our client in a busy Warehouse Operations Team based in Newcastle. This role plays a key part in organising, scheduling and supporting day-to-day warehouse, transport and inventory operations, ensuring accurate documentation, clear communication and smooth workflow.
About the Role
Reporting to the Warehouse and Transport Manager, you will be responsible for scheduling deliveries and drivers on a daily basis whilst providing exceptional customer service and administrative/operational support across warehousing, inventory control and customer coordination. This is a fast-paced role suited to someone who enjoys juggling multiple priorities and working closely with both internal teams and external stakeholders.
Key Responsibilities
Manage shared inboxes and warehouse diaries
Prepare consignment notes and delivery documentation
Assist with scheduling customer deliveries via phone and email
Maintain inventory records (goods inwards and outwards)
Reconcile deliveries and investigate discrepancies
Upload warehouse and safety documentation daily
Prepare supplier invoices for accounts payable
Respond to internal and external operational queries
Liaise with suppliers, transport providers and customers
Assist with stocktakes and inventory reconciliation
Provide basic reporting using Excel
Support WHS requirements and safe work practices
About You
You’re organised, proactive and take pride in accuracy. You communicate clearly, enjoy working as part of a team and can stay calm under pressure.
Skills & Experience
Previous experience in transport allocating, warehouse administration, logistics or inventory control
Strong attention to detail and data entry accuracy
Confident using Microsoft Office (Outlook, Word and Excel – basic formulas preferred)
Experience with ERP systems such as SAP or similar (highly regarded)
Understanding of warehousing and transport processes
Ability to manage deadlines in a fast-paced environment
Strong communication and problem-solving skills

Weekly pay
Ongoing casual hours - 7am to 3:06pm | Monday to Friday 38 hours per week

Casual hourly rate $38.89 per hour
