Job summary

Rugby World Cup Australia 2027 in Sydney is hiring a Tournament Guest and Protocol (TGP) Coordinator to plan and deliver the TGP Programme. You will manage guest lists, bookings, travel, and communications, working with World Rugby and internal teams to ensure a world-class guest experience.

You will support VIPs, dignitaries and government representatives, coordinate seating and tickets, and help deliver a seamless match-day experience across venues and hotels.

Qualifications

• Minimum 1-2 years' experience in a Coordinator, Administration, Events, Guest Relations or Hospitality role.
• Exceptional organisational skills with the ability to manage competing priorities and deadlines.
• Proven stakeholder and guest management experience with high-value guests, senior leaders and external partners.
• Excellent written and verbal communication with discretion for diverse audiences.
• Experience using CRM, database or event management systems.
• Experience coordinating travel arrangements and guest logistics.

Responsibilities

• Support preparation, input and management of guests lists with Guest Group Managers.
• Monitor guest registrations in the Tournament Management System and manage bookings.
• Respond to Programme participants and partners via approved channels.
• Maintain accurate guest records and provide up-to-date reports; collate feedback.
• Liaise with Transport, Arrivals and Departures, and Accommodation to ensure service levels.
• Coordinate seating plan approvals, ticketing distribution and on-site venue support.
