Job summary

Veterinary Specialists of Sydney (VSOS) is seeking friendly weekend Veterinary Receptionists to join our weekend team in Sydney. You will be the first point of contact, creating a calm and professional atmosphere for clients and their pets during stressful times.

As part of a busy 24/7 hospital, you will support emergency and specialist teams, handle appointments, payments and documentation, and play a key role in delivering exceptional patient and client care on Saturdays and Sundays.

Qualifications

• Previous reception/front-desk experience in a veterinary or medical setting preferred.
• Availability for regular weekend shifts (Sat/Sun).
• Strong communication and interpersonal skills with clients and staff.
• Excellent organisation and attention to detail; ability to multitask in a busy environment.

Responsibilities

• Greet clients with warmth and professionalism.
• Support clients through emergency presentations and difficult situations.
• Coordinate patient admissions and record information accurately.
• Ensure consent forms and documentation are completed.
• Answer and direct phone calls compassionately.
• Manage appointments and maintain records in ezyVet.
• Communicate clearly with clients, veterinarians and hospital staff.
• Process payments and assist with account inquiries.
• Maintain a clean, organised reception area and provide admin support.
• Contribute to clinic initiatives and continuous improvement.

Weekend Permanent Part-Time and Casual Opportunities

Are you passionate about animals, people and delivering exceptional customer service?

Veterinary Specialists of Sydney (VSOS) is looking for friendly, organised and proactive Veterinary Receptionists to join our weekend team.

As the first point of contact for our clients, you will help create a calm, welcoming and professional environment during what can often be a stressful or emotional time. You’ll work closely with our reception, emergency and specialist teams to ensure every client and patient feels supported from the moment they arrive.

These positions are specifically for candidates available to work regular Saturday and Sunday shifts. Our hospital operates 24/7, with reception staffed between 7:00 am and 11:00 pm, so availability across a range of weekend shifts is required.

About the Role

As a member of our weekend reception team, you will:

• Welcome clients and visitors with warmth, empathy and professionalism
• Support clients through emergency presentations and emotionally difficult situations
• Coordinate patient admissions and ensure client and patient information is recorded accurately
• Confirm that consent forms and other required documentation are completed
• Answer and direct phone calls efficiently and compassionately
• Manage appointments and maintain accurate records using ezyVet
• Communicate clearly with clients, veterinarians, nurses and other hospital departments
• Process payments and assist clients with account-related enquiries
• Maintain a clean, organised and well-stocked reception area
• Provide general administrative support to the wider hospital team
• Contribute to clinic initiatives and continuous improvement activities

What We’re Looking For

We are looking for someone who can remain calm, organised and compassionate in a busy emergency and specialist hospital.

The ideal candidate will have:

• Previous experience in a reception, customer service or front-office role
• Availability to work regular weekend shifts, including Saturdays and Sundays
• Strong communication and interpersonal skills
• Excellent organisation and attention to detail
• The ability to multitask and prioritise in a fast-paced environment
• A proactive and client-focused approach
• Confidence communicating with clients during stressful or emotional situations
• A collaborative mindset and willingness to support the wider team

Previous veterinary, medical or healthcare reception experience is highly regarded. Experience using ezyVet or a similar practice management system is also an advantage.
